Job Summary

Under the supervision of the Department Manager and with a strong attention to detail, the Information Governance Specialist I will utilize information from written instructions and established procedures to accomplish assigned tasks. Assigned tasks will include, but not limited to: records retention and destruction; the facilitation and fulfillment of subpoena requests along with various records research and service requests; assisting UFCU Legal team with garnishment, receivership and levy account holds and member notification; assisting Compliance and Vendor Management as needed; Verification of Deposit (VOD) and return mail processing; and looking for, recommending, and implementing with guidance efficiencies within all processes assigned to the Department.

The Information Governance Specialist I is a non-exempt position.

Essential Functions

Processing

• Utilize information from written instructions and established procedures to complete various processes.
• Consistently meet process deadlines.
• Facilitate information gathering for subpoenas to assist various law enforcement entities and civil practitioners working on and investigating legal cases involving UFCU members.
• Work closely with UFCU’s Legal Department to facilitate the processing of legal garnishments, receiverships and levy holds and comments on UFCU accounts. Sending notification to members.
• Hard copy and electronic records disposition and destruction.
• Verification of Deposit (VOD) and reverification process.
• Return mail processing, and recommendations for the efficiency thereof.

Communication

• Respond accurately, directly, and succinctly to routine questions from team members and external customers to fulfill UFCU department service requests as expeditiously as possible to meet service level agreements.
• Use clear and simple language to get the message across.
• Free sharing of all relevant and useful non-confidential information to appropriate stakeholders.
• Follow-up with requests as expeditiously as possible.

Development

• Complete all required training by applicable deadlines.
• Assimilate and apply new job information on an ongoing basis.
• Actively participate in self-development programs to develop additional technical and personal knowledge and skills.
• Cross-train in multiple areas of the Department and continues to gain more knowledge.

Other

• Provides timely, complete and accurate responses to inquiries internally and externally.

• Complete required regulatory training as assigned.
• Maintain strict adherence and compliance to all laws, rules, regulations and internal controls specific to the role, including but not limited to Bank Secrecy Act, Anti-Money Laundering, USA Patriot Act, OFAC and Fair Lending regulations.

Knowledge/Skills/Abilities

Knowledge

• Strong knowledge of credit union policies and regulations.
• Strong knowledge of Microsoft Word®, Microsoft Excel®, UFCU Core processing system(S) and Systemware®.

Experience

Minimum Requirements

• Minimum of one (1) year of financial institution experience required.
• Minimum of one (1) year of experience in environments with substantial repetitive work, such as data entry required.
• Strong attention to detail and ability to complete repetitive tasks accurately
• Organizational skills to manage assigned work, documents, queues, and follow-up items
• Specialized research and problem-solving skills to identify missing information and route issues appropriately
• Clear written and verbal communication skills for internal updates, documentation, and handoffs
• Ability to navigate multiple systems and tools while maintaining accuracy and confidentiality
• Time management skills to meet service expectations in a high-volume operational environment
• Must be bondable.
• High School Diploma or equivalent

Preferred Requirements

• 2-3 years of experience working with UFCU systems, technologies, and operational processes
• Proven ability to thrive in a fast-paced, agile environment, adapting quickly to changing priorities while maintaining accuracy and efficiency

Work Environment

The work environment characteristics described are representative of those an employee encounters while performing the essential functions of this job. This position may involve limited interaction under stressful conditions.

• This position requires working 5 days from UFCU Plaza in Austin, Texas.
• May occasionally require an adjusted work schedule, overtime, and evening/weekend hours.
• May involve working from the office and/or home.
• Frequent computer use at a workstation of up to two hours at a time.
• The noise level in the work environment is usually quiet.
