
Information Governance Compliance Coordinator
Cooley is seeking an IG Compliance Coordinator to join the Information Governance & Privacy team.

To that end, the IG Compliance Coordinator is expected to recognize that the Cooley Information Governance and Privacy department is a service organization first and foremost and will be evaluated on this requirement equal in importance to the technical or operational responsibilities outlined later in this document. The IG Compliance Coordinator coordinates activities associated with client file transfers, intake of electronic file transfers for lateral attorneys, records retention, and compliance with records standards. Specific duties and responsibilities include, but are not limited to, the following:
Position responsibilities
Communicate with attorneys and business professionals regarding lawyer mobility records issues (i.e., client file transfers for active and inactive electronic client records)
Manage life cycle of physical and electronic information from creation, archival and destruction.
Oversee and coordinate efforts to maintain physical files in good condition and proper location, retrieval and refiling of files, organization of client files, and modifying status of files in the electronic records management system
Coordinate updates to files and information due to matter and docket changes
Assist in testing of document management systems
Handle intake and transfer of electronic documents and emails for lateral attorneys including uploading/downloading such materials into/from iManage
Coordinate the transfer of print records
Communicate with attorneys and other department business professional team members regarding records retention issues
Coordinate records retention and destruction activities per firm policy and procedures
Review records related requests to assure compliance with records standards
Responsible for data entry, data analysis, implementation of legal holds, facilities document collection/production/destruction related to court orders and security of documents per various PII provisions
Resolve questions, comments and/or concerns pertaining to the Information Governance Department’s policies and procedures relating to lawyer mobility, retention, and standards
Assist in the development of training, procedure manuals and guidelines
As a member of the Threat Hunting team, search logs and investigate alerts regarding potential threats to information stored or processed by the firm. This will be conducted under the direction of the firm’s Technology Cyber Security team and Technology Lead Incident Response Analyst
Maintain and administer the firm’s records management system and tools/processes regarding file disposition
Liaise between attorneys, paralegals, secretaries, administration, as well as other records business professionals to ensure that comprehensive central records services are equitably, promptly, and efficiently provided
Encourage team behaviors to achieve organizational goals
All other duties as assigned or required
Skills & experience
Required
After orientation at Cooley LLP, exhibit proficiency in the Microsoft Office suite, iManage and other firm applications, including IntApp
Available to work overtime, as required, including ability to participate in a 7x24 on-call rotation
2+ years direct applicable experience (e.g., records experience, technology experience or a combination of records and technology experience). Senior candidates must have 3+ years directly applicable experience, along with the proven ability to operate at an elevated level
Previous experience with complex document management and electronic records management systems
Preferred
Previous Legal IT Applications experience
Bachelor’s degree
Previous experience in a large multi-office law firm
Previous experience coordinating work with others
Previous experience with data mapping and data imports/exports
New Business Intake and Offboarding experience
Data/Library science background
Experience coordinating the implementation of new technologies
Knowledge of SQL programming

The expected hourly pay range for this position with a work schedule of 40 hours per week is $33.50 - $41.00 ($69,680.00 - $85,280.00 annually). Please note that final offer amount will be dependent on geographic location, applicable experience and skillset of the candidate. Senior level candidates may be considered for this position and would be eligible for a higher salary range based on experience.
