We are looking for an experienced and proactive Associate Manager/Manager – Payroll to oversee payroll operations for employees across the United States and Canada. The ideal candidate will possess strong expertise in payroll processing, compliance management, client coordination, and team leadership. This role involves managing end-to-end payroll operations, ensuring compliance with federal and provincial/state regulations, driving process improvements, and supporting payroll audits and escalations.
Key Responsibilities:
• Manage and oversee semi-monthly, bi-weekly, and off-cycle payrolls for US and Canadian employees.
• Ensure accurate and timely payroll processing in compliance with federal, state, provincial, and local payroll regulations.
• Review payroll inputs, tax calculations, deductions, garnishments, and benefit adjustments before payroll finalization.
• Lead and support a team of payroll specialists by providing guidance, training, and performance oversight.
• Handle complex payroll issues, escalations, and client queries with professionalism and accuracy.
• Coordinate with HR, Finance, Benefits, and Tax teams to ensure smooth payroll operations.
• Review and validate year-end activities including W-2s, T4s, ROEs, tax filings, and reconciliations.
• Ensure compliance with SOX controls, audit requirements, and internal payroll policies.
• Prepare payroll metrics, reports, reconciliations, and management dashboards.
• Identify process gaps and implement payroll process improvements and automation initiatives.
• Support internal, external, and tax audits by providing payroll documentation and analysis.
• Maintain confidentiality and accuracy of employee payroll data.
Required Qualifications/ Desired Expertise:
• Minimum 6–8 years of payroll experience. It will be advantageous if the experience is of handling both US and/or Canadian payrolls.
• Prior experience in team handling or payroll operations management.
• Strong knowledge of US federal/state payroll laws and Canadian payroll regulations.
• Experience with payroll systems such as ADP, Workday, Ceridian, UKG, or similar platforms.
• Advanced proficiency in Microsoft Excel and MS Office applications.
• Strong analytical, organizational, and problem-solving skills.
• Excellent verbal and written communication skills.
• Ability to manage multiple priorities and work in a fast-paced environment.
• High attention to detail, accuracy, and confidentiality.
Preferred Qualifications:
• Certified Payroll Professional (CPP) and/or Payroll Compliance Practitioner (PCP) certification preferred.
• Experience managing payroll for multi-state and multi-province environments.
• Knowledge of payroll accounting, reconciliations, and tax reporting.
• Experience in a multinational organization or shared services environment.
• Familiarity with benefits administration, retirement plans, and statutory compliance.
Leadership Expectations:
• Mentor and support payroll team members to achieve operational excellence.
• Drive continuous improvement initiatives within payroll operations.
• Ensure adherence to SLAs, quality standards, and compliance requirements.
• Collaborate effectively with cross-functional and global stakeholders.
Working hours: US Shift (8:00 A.M. to 5:00 P.M. EST)
