THE ROLE

We are recruiting an Inbound Procurement Senior Specialist to help drive a resilient, transparent and scalable inbound operation in support of our ambitious growth plans. In this role, you will own end-to-end inbound execution from purchase order creation through supplier ship readiness, freight booking and warehouse inbounding, ensuring delivery commitments are met and data integrity is maintained in our ERP for accurate reporting and decision-making. You will act as a senior point of contact across Merchandising, Production, Finance, warehouses and freight forwarders—anticipating risk, resolving constraints, and continuously improving ways of working as our regional warehouse network expands.

KEY RESPONSIBILITIES

  • Own inbound execution into KL warehouses, safeguarding service levels by ensuring timely transport planning, booking and inbounding.
  • Maintain end-to-end visibility of supplier ship dates and ETAs, ensuring complete and accurate inbound master data in the ERP system to enable reliable reporting and prioritisation.
  • Lead inbound readiness during peak shipping periods by proactively identifying risks (capacity, documentation, compliance, delays) and driving cross-functional resolution and escalation.
  • Create, place and maintain purchase orders accurately and on time, ensuring governance over key parameters (lead times, quantities, pricing and delivery terms) in line with internal controls.
  • Translate inbound reports into actionable insights—challenge variances, spot data issues early, perform root-cause analysis, and implement corrective actions to prevent recurrence.
  • Partner with freight forwarders and warehouses to optimise inbound processes, align on priorities, and ensure a smooth physical and system flow of goods.

YOUR PROFILE

  • At least 4 years of experience in vendor management and inbound logistics (preferably in a related industry), or an equivalent combination of education and relevant experience, with the maturity to act as a subject matter expert.
  • Strong problem-solving and analytical skills, with attention to detail and the ability to understand end-to-end processes and downstream impacts (from Sales to Purchasing to inbound and outbound logistics).
  • Advanced Excel skills (e.g., VLOOKUP, pivot tables) and familiarity with ERP systems.
  • Strong service mindset with excellent communication skills.
  • Self-driven and adaptable, with the curiosity to explore new and improved ways of working.
  • Collaborative team player who supports colleagues when needed.
  • Fluent in spoken and written English.
