You will be responsible to:

The Import/Export Specialist is responsible for coordinating and executing export operations and associated logistics processes, ensuring compliance with all applicable regulations while enabling the efficient and timely delivery of goods to customers.

This role plays a key part in managing documentation, interacting with internal and external stakeholders, and ensuring accurate information flow across systems (e.g., SAP). The specialist acts as the final link in the supply chain, requiring strong communication, negotiation, and problem-solving skills to manage pressures from multiple stakeholders and ensure business continuity

Export & Logistics Operations

  • Coordinate and execute export shipments (core, non-core, intercompany), ensuring full compliance with regulations and customer requirements
  • Interpret customer contracts and define appropriate export processes and requirements
  • Manage customs-related activities (e.g., documentation, liaison with customs agents, compliance with destination country requirements)
  • Arrange transportation and shipments, ensuring alignment with timelines and operational needs
  • Ensure correct application of Incoterms and transport regulations, including dangerous goods when applicable

Documentation & Systems

  • Prepare, verify, and manage all documentation required for international shipments (e.g., invoices, certificates of origin, transport documents)
  • Ensure accuracy and completeness of all import/export documentation
  • Maintain and update relevant systems (SAP, CRM) with shipment plans, status and changes (e.g., delays, route changes)
  • Maintain customer master data and shipment records in SAP

Stakeholder Management

  • Act as the main point of contact for export-related topics with internal stakeholders and external partners (freight forwarders, customs brokers, customers)
  • Communicate effectively with customers, including leading calls to explain shipment status, challenges, and solutions
  • Manage internal expectations and push back when required, balancing business needs with operational constraints

Planning & Monitoring

  • Track shipment performance and proactively manage risks (e.g., delays, missing goods)
  • Maintain up-to-date shipment plans and KPI reporting
  • Ensure efficient flow of goods and information across the supply chain

Compliance & Continuous Improvement

  • Ensure all activities comply with GMP, HSE and internal procedures (SOPs, COPs, etc.)
  • Maintain up-to-date knowledge of international trade regulations and customs requirements
  • Identify and propose process improvements to enhance efficiency and reliability

Collaboration & Knowledge Sharing

  • Support training of team members and stakeholders on import/export processes and regulations
  • Collaborate cross-functionally to ensure alignment and operational excellence

We are looking to recruit a Candidate:

Education & Experience

  • Degree in Business Administration, Supply Chain, Logistics, or related field
  • Typically 3–5 years of experience in import/export or logistics operations (B2B environment preferred)
  • Experience in manufacturing and/or regulated industries (e.g., pharma) is an advantage, but not mandatory

Technical Knowledge

  • Good understanding of export processes, customs regulations and documentation
  • Knowledge of Incoterms, transport requirements, and international shipping practices
  • Familiarity with SAP (or other ERP systems) and supply chain processes is desirable
  • Understanding of GDP/GMP environments is a plus (can be trained)
  • Languages
  • Fluency in English (mandatory)
