Job Description

Responsible for leading and managing all import and export logistics operations across India. This role ensures compliant, cost-effective, and efficient movement of goods internationally and domestically in alignment with business requirements. The position oversees customs clearance, freight forwarding, trade compliance, shipment planning, documentation, stakeholder coordination, and continuous improvement of logistics processes.
The role requires strong knowledge of international trade regulations, Indian customs procedures, transportation management, and cross-functional coordination with procurement, supply chain, finance, project teams, and external logistics partners.

Key Responsibilities

1. Import & Export Operations Management

  • Manage end-to-end import and export logistics activities for shipments into and out of India.
  • Ensure timely and cost-effective transportation of materials, equipment, and finished goods.
  • Coordinate with freight forwarders, customs brokers, shipping lines, airlines, and transporters for smooth execution.
  • Monitor shipment schedules, track deliveries, and resolve delays or operational issues.
  • Optimize logistics flows to improve service levels and reduce costs.

2. Customs Clearance & Trade Compliance

  • Ensure compliance with Indian customs laws, DGFT regulations, FEMA requirements, GST implications, and other applicable trade laws.
  • Oversee preparation, review, and accuracy of all import/export documentation, including:
    • Commercial invoices
    • Packing lists
    • Bills of lading / airway bills
    • Shipping bills
    • Bills of entry
    • Certificates of origin
    • Insurance documents
    • Import/export licenses and permits
  • Liaise with customs authorities, government agencies, and internal compliance teams as needed.
  • Ensure proper classification, valuation, and duty/tax application for imported and exported goods.
  • Maintain full compliance with company policies and global trade controls.

3. Stakeholder & Vendor Management

  • Manage relationships with freight forwarders, CHA/customs brokers, transporters, shipping agents, and warehouse service providers.
  • Negotiate freight rates and service agreements to achieve cost and service targets.
  • Collaborate with sourcing, procurement, project management, manufacturing, sales, finance, and legal teams.
  • Act as the central point of contact for logistics escalation and shipment-related decision-making across India operations.
  • Local Outbound logistic operation & alignment with international shipment.
  • Documentation compliance in consultation with CHA and customer need.
  • LTI - Final product dispatch in form of transformer/part dispatch management in consultation with export invoicing & custom clearance.
  • LTI - Final product dispatch in form of transformer/part dispatch management- day to day operation co-ordination.
  • Import shipment management of product under warranty or repair job from out side India.

4. Cost Control & Performance Management

  • Develop and manage logistics budgets related to import/export activities.
  • Track freight, duty, demurrage, detention, warehousing, and transportation costs.
  • Identify opportunities for cost reduction, route optimization, consolidation, and improved carrier performance.
  • Establish and monitor KPIs such as on-time delivery, clearance lead time, freight cost per shipment, and compliance accuracy.

5. Documentation, Systems & Reporting

  • Ensure accurate maintenance of shipment records, compliance files, duty records, and audit documentation.
  • Use ERP, TMS, and logistics tracking systems for planning, execution, and reporting.
  • Prepare periodic management reports on logistics performance, risks, compliance status, and cost trends.
  • Support internal and external audits related to customs, trade compliance, and logistics operations.
  • Have knowledge for Duty free License & Shipment clearance as duty free

6. Risk Management & Continuous Improvement

  • Identify operational risks related to delays, port congestion, customs issues, non-compliance, and supplier/carrier performance.
  • Develop contingency plans for critical shipments and business continuity.
  • Lead process improvement initiatives to enhance visibility, efficiency, and control in logistics operations.
  • Drive standardization of logistics procedures and best practices across India.

Required Qualifications

  • Bachelor’s degree /Diploma in Supply Chain, Logistics, Commerce, Business Administration, International Trade, or related field.
  • 8–15 years of relevant experience in import/export logistics, international transportation, customs clearance, and trade compliance.
  • Strong understanding of Indian import/export regulations, customs procedures, and documentation requirements.
  • Experience managing freight forwarders, customs brokers, and transportation providers.
  • Knowledge of Incoterms, HS classification, duty structures, and cross-border shipping processes.
  • Experience with ERP systems such as SAP, Oracle, or similar platforms.
  • Strong analytical, negotiation, and problem-solving skills.
  • Excellent communication and stakeholder management capabilities.
  • Experience in manufacturing, industrial, engineering, EPC, energy, or project logistics environments.
  • Knowledge of bonded warehousing, free trade agreements, special economic zones, and export incentive schemes.
  • Familiarity with global trade compliance standards and multinational business operations.
