Import & Export Associate

Department: Operations

Employment Type: Permanent - Full Time

Location: Nairobi, Kenya.

About the Role
The role holder assists the day-to-day execution of import and export operations by preparing documentation, coordinating with clearing agents and logistics providers, tracking shipments, and assisting compliance activities.

What you would be expected to do:

Documentation Preparation

  • Prepare, verify, and submit import and export documentation, including:
  • Commercial invoices
  • Packing lists
  • Bills of Lading / Airway Bills
  • Certificates of Origin
  • Import permits and licenses
  • Ensure all documentation is accurate, complete, and submitted within required timelines.

Customs Clearance Assistance

  • Liaise with clearing agents to facilitate customs processing and clearance.
  • Provide required documentation and reply to queries from customs authorities.
  • Follow up on inspections, examinations, and additional document requests.

Shipment Tracking & Coordination

  • Track shipments from origin to destination and provide regular updates to internal teams.
  • Coordinate with freight forwarders and transporters on shipment status.
  • Escalate delays, discrepancies, or issues to the Imports & Exportsmanager promptly.


Regulatory & Compliance Assistance

  • Assist in maintaining records of licenses, permits, and compliance documentation.
  • Assistance preparation of documents for audits, inspections, or regulatory submissions.
  • Assist with applications for permits, approvals, or exemptions as required.

Cost & Invoice Processing

  • Review freight, clearance, and storage invoices for accuracy.
  • Support reconciliation of logistics costs with the finance team.
  • Maintain organized and accessible shipment records.

Stakeholder Communication

  • Communicate with suppliers, clearing agents, and logistics service providers.
  • Provide timely shipment updates to internal stakeholders.
  • Any other tasks that may be assigned

You might be a strong candidate if you have:

  • Bachelor’s degree from a recognized institution, preferably in Supply Chain Management or a related field.
  • Strong organizational skills with the ability to multitask and manage priorities.
  • High attention to detail and ability to follow instructions accurately.
  • Proficient computer skills, including Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
  • Excellent verbal and written communication skills, with the ability to work in a team.
  • Self-guided person with the ability to work under minimal supervision and a strong willingness to learn.
