Implementation Project Coordinator – APAC

About the Right Team Member

As part of our Implementation Team, the Implementation Project Coordinator helps keep customer onboarding projects organised, on track and moving forward. This is a hands-on, detail-driven role in which you’ll work directly with customers throughout their implementation, coordinate the administration behind each project and ensure that actions and important details don’t slip through the cracks.

Day to day, you’ll set up and maintain project plans and documentation, clarify timelines and next steps, follow up on outstanding actions and help keep go-live activities on schedule. You’ll partner closely with the Project Manager, escalating risks, dependencies and proposed changes so they can be assessed and resolved before they affect project delivery. You’ll also collaborate with Sales, Customer Success and other internal teams to create a connected customer journey.

You’ll thrive in this role if you’re exceptionally organised, take pride in accuracy, communicate clearly and warmly, and naturally think a step ahead. You’ll be comfortable raising risks early, asking questions when something is unclear and taking ownership of follow-through. This is an excellent opportunity for someone who wants to build a career in project management and learn customer implementation from the ground up.

About the Role

• Coordinate day-to-day implementation activities, ensuring responsibilities, deadlines and next steps are clear to customers and internal stakeholders.
• Partner with the Project Manager to maintain project plans and documentation, communicate progress, and escalate risks, dependencies, delays and proposed scope or timeline changes for resolution.
• Guide customers through their implementation journey by providing clear, timely and professional communication about requirements, milestones and timelines.
• Set up and maintain detailed project plans, including key milestones, dependencies, action items and target dates.
• Monitor project progress and follow up proactively with customers and internal stakeholders on outstanding actions or information.
• Maintain accurate project records, including decisions, meeting notes, action items, status updates and other relevant documentation.
• Support the Project Manager in tracking changes to project scope and timelines, communicating potential impacts and escalating decisions as needed.
• Identify and document project risks and issues early, supporting the Project Manager and relevant stakeholders with timely resolution.
• Use project management and collaboration tools to track performance, maintain visibility and report on key milestones.
• Work closely with Sales, Customer Success and other internal teams to support smooth transitions throughout the customer journey.
• Develop a strong understanding of Mindbody products, implementation processes and project management best practices.
• Contribute to improvements in implementation processes, tools and customer experiences by sharing observations and ideas with the team.

Skills & Experience

• Exceptional written and verbal communication skills, with the emotional intelligence to engage effectively and professionally with customers and internal stakeholders.
• Strong organisational skills and attention to detail, with the ability to maintain accurate project information and manage multiple priorities.
• Excellent relationship-building skills, with the ability to establish trust, maintain composure under pressure and respond proactively to customer concerns.
• A strong sense of ownership and accountability, with a consistent focus on following through and achieving results.
• The ability to identify risks, anticipate next steps and escalate concerns appropriately.
• Effective problem-solving skills and a willingness to ask questions, seek guidance and learn.
• Comfort working in an ambiguous, collaborative and fast-paced environment.
• Previous experience using project management or collaboration tools is beneficial but not essential.
• Experience in customer service, administration, coordination, onboarding or a similar environment would be beneficial.
• A strong interest in developing a career in project management and customer implementation.
