Serves as a critical ambassador for the organization, ensuring a professional and welcoming experience for new hires while safeguarding compliance with employment regulations. This role oversees identity verification, fingerprinting, background review, I-9 completion, E-Verify and E-Verify+ processing, and proactive management of employment work authorization compliance, including monitoring expiration dates and coordinating timely renewals. Additionally, the position manages scheduling of new hire appointments, performs notary services, captures badge photos, downloads background checks, and updates clearance status.

Serve as the first point of contact for new hires, delivering a positive and professional onboarding experience. Daily 10% 4.

Download and review Colorado Bureau of Investigation (CBI) and Federal Bureau of Investigation (FBI) background check reports, identify individuals as cleared or requiring court documentation follow up on shared document with HR Team.

Daily 10% 5. Manage new hire appointments and coordinate onboarding logistics. Daily 10% 6. Perform notary services for required employment documentation. Daily 5% 7. Proactively monitor employment authorization status, track expiration dates, and issue notifications to facilitate timely updates and renewals. Daily 5% 8. Capture photographs for employee identification badges and ensure timely badge issuance. Daily 5% 9. Maintain strict confidentiality and security of sensitive personal information. Daily 5% 10. Collaborate with HR Team members to streamline onboarding workflows and compliance processes. Daily 5% 11. Assist individuals with instructions for conducting a name, gender, or address change. Provide additional support to the Human Resources Department by completing various clerical and administrative tasks including but not limited to assisting with reports, coordinating events, scheduling meetings, etc. Daily 5% 12. Answer phone line and support Director by answering their phone line when appropriate. Monitor email account, provide information, take and deliver messages, and direct questions to the appropriate individual. Assist visitors, answer inquiries, provide information, and direct to appropriate school areas. On occasion as back up, greet welcome and assist customers and staff from main Educational Services Center (ESC) front desk. Daily 5% 13. Perform other duties as assigned or requested. MINIMUM QUALIFICATIONS The minimum prerequisites of formal education, professional work experience, certifications, licenses, endorsements, designations, trainings, and other criteria that a candidate must fulfill to be considered for a position. It is essential that certifications, licenses, endorsements, designations, and trainings are fulfilled, valid, and not expired.

  • Criminal background check and fingerprinting required
  • Associate's degree
  • Three (3) years of related experience in HR, onboarding, compliance, background screening, accounting, accounts payable, accounts receivable, banking/loan servicing, bookkeeping, payroll, or retail industry (sale of items and services) cashiering experience.
  • Ability to maintain strict confidentiality and handle sensitive personal information securely
  • Notary Public certification required immediately upon hire.
  • Commitment to accuracy and compliance in all documentation and record-keeping processes
  • Ability to work independently, prioritize tasks, and follow established procedures

  • Strong verbal and written communication skills for interacting with employees, candidates and internal stakeholders
  • Exceptional organizational skills with the ability to manage high volumes of sensitive data under strict deadlines

  • Understanding of federal and state employment laws, including immigration compliance and data privacy standards
  • Working knowledge of I-9 form regulations, employment eligibility verification procedures and document retention requirements
  • Ability to handle multiple tasks in a high-volume area
  • Advanced interpersonal relations skills
  • Proficiency with Microsoft Office and HRIS or onboarding systems
  • Advanced knowledge of common office application software
  • Advanced knowledge of typical office equipment such as telephones, copiers, fax machines, email, etc.
