Job Description

At Uni Systems, we are working towards turning digital visions into reality. We are continuously growing and we are looking for a professional ICT Project Coordinator to join our UniQue Warsaw team.

What will you be bringing to the team?

  • Coordinate assigned ICT projects and technical initiatives throughout initiation, planning, execution, monitoring and closure, under the direction of the Project Manager or designated Operational Actor.
  • Prepare and maintain project scope, plans, schedules, milestones, work packages, acceptance criteria and project-control records in accordance with PM², Agile or other approved methodologies.
  • Monitor progress, resources, risks, issues, changes and dependencies, escalating deviations and decisions requiring action.
  • Coordinate multiple small and medium-sized initiatives in parallel and support the timely delivery of agreed outcomes.
  • Coordinate activities across technical teams covering networks, cloud/data centre, cybersecurity, databases, identity and access management, modern workplace, monitoring, service desk and operations.
  • Facilitate technical scoping and readiness activities covering environments, access, capacity, integration, testing, architecture, security and operational dependencies.
  • Coordinate interfaces between technical teams, business owners and specialist functions, without replacing their technical responsibilities.
  • Identify and follow up on blockers and cross-team dependencies through established governance and escalation processes.
  • Organise and facilitate project meetings, technical workshops, status reviews and decision sessions, maintaining agendas, minutes, action and decision records.
  • Coordinate communication and follow-up with business stakeholders, technical teams, suppliers and consultants.
  • Support the preparation of Procurement Requests, Requests for Service, Terms of Reference and related documentation.
  • Support supplier mobilisation and contract implementation by tracking actions, man-days, deliverables, acceptance evidence and dependencies.
  • Maintain project plans, status reports, dashboards, action, decision, dependency and change logs, as well as an auditable project repository.
  • Prepare management reports and briefing materials.
  • Coordinate testing, acceptance, handover, operational readiness, knowledge transfer, closure and lessons learned.
  • Identify and propose practical improvements to project coordination, reporting, templates and knowledge management.
  • Perform other relevant duties as assigned by the supervisor.

Requirements

What do you need to succeed in this position?

  • Bachelor Degree + minimum 5 years of relevant professional IT experience.
  • At least 3 years of experience coordinating ICT projects or technical initiatives in a similar position.
  • Experience coordinating at least two ICT infrastructure projects or initiatives involving multiple technical domains.
  • Experience coordinating dependencies across at least three of the following areas:
  1. Network
  2. Cloud/Data Centre
  3. Databases
  4. Identity and Access Management (IAM)
  5. Endpoint/Workplace
  6. Cybersecurity/Architecture
  7. Monitoring
  8. Service Operations
  • Experience supporting supplier engagement, procurement documentation, Proofs of Concept (PoCs) or ICT contract implementation.
  • Practical experience with project and service-management tools such as Azure DevOps, ServiceNow, Jira, MS Project, Planner or equivalent.
  • Strong knowledge of the ICT project lifecycle, governance and delivery methodologies, including PM² or equivalent.
  • Good understanding of ICT infrastructure, service management, change management, operational readiness and transition to service.
  • Good knowledge of project planning and control, including schedules, milestones, actions, decisions, dependencies and changes.
  • Ability to translate business needs into clear scope, deliverables, coordination actions and acceptance criteria.
  • Excellent communication, facilitation, reporting and documentation skills, with the ability to work effectively with technical teams, managers, business stakeholders and suppliers.
  • At least one internationally recognized certification is required (equivalent certifications are subject to acceptance by the Contracting Authority)

  2. PRINCE2 or equivalent
  3. PMP or equivalent
  • English is mandatory, minimum B2 CEFR.
