INTECH Automation Intelligence is seeking an iCSG Executive to join our International Corporate Service Group (iCSG) This role is pivotal in managing corporate travel arrangements, visa and immigration processes, employee mobilization, administration, compliance, and vendor coordination across global project locations. The ideal candidate will have strong expertise in travel and visa management, budgeting, administration, and cross-functional coordination, with the ability to manage multiple priorities across international territories. What You’ll Lead and Deliver
- Manage end-to-end visa and immigration matters, including new visas, renewals, extensions, cancellations, quotas, and compliance across all territories.
- Develop cost-effective visa solutions and proactively manage complex, delayed, or urgent visa cases.
- Maintain updated visa and travel guidelines, trackers, expiry schedules, and country-wise requirements.
- Coordinate with immigration consultants, agents, embassies, government authorities, and Front Offices on visa-related matters.
- Manage business travel arrangements, including air tickets, accommodation, airport transfers, car rentals, and other travel requirements.
- Coordinate travel insurance, medical claims, reimbursements, and related follow-ups.
- Negotiate with travel agencies, hotels, transportation providers, and other vendors to optimize travel costs.
- Monitor travel and visa expenditure, identify savings opportunities, and provide periodic cost analysis and management reporting.
- Ensure compliance with applicable immigration regulations, visa conditions, and company travel policies.
- Support management and Front Office teams with travel advisory and visa feasibility assessments for new projects, mobilizations, and international assignments.
- Maintain centralized records of travel and visa costs to support budgeting, forecasting, cost comparison, and management decision-making.
- Manage quarterly and annual budgeting, variance analysis, and management reporting.
- Identify improvement opportunities, highlight operational gaps, and implement corrective actions to improve efficiency.
- Manage general administration matters and coordinate with Front Offices.
- Supervise office utilities, mobile connections, payments, and issue resolution.
- Manage employee and site engineer accommodation and hotel arrangements across all territories.
- Coordinate local transportation, including car rentals, taxis, airport transfers, and site movements.
- Facilitate field passes, gate passes, and other site access and mobilization requirements.
- Ensure timely renewal of licenses, registrations, certifications, legal documents, and other regulatory requirements.
- Manage COC/Chamber of Commerce matters, including company registration renewals.
- Ensure compliance with applicable labor laws, statutory requirements, company policies, and procedures.
- Maintain updated compliance trackers and supporting documentation.
- Coordinate incoming and outgoing shipments, customs clearance, duty assessments, approvals, and related documentation.
- Maintain working knowledge of applicable import/export and customs regulations across Middle East territories.
- Manage vendor relationships, negotiations, service performance, and account-related matters.
- Identify opportunities for cost optimization while maintaining service quality and operational requirements.
- Maintain accurate SharePoint records, master sheets, trackers, and operational logs.
- Develop and maintain SOPs and guidelines for key Front Office processes.
- Ensure operational records, visa and travel guidelines, and compliance documentation remain accurate and up to date.
- Liaise with F&A, HR, IT, Shipment, QHSE, and other Back Office functions to ensure timely support, compliance, and issue resolution.
- Maintain effective coordination with Front Offices to ensure smooth execution of administrative and operational requirements.
Requirements
To Be Successful in This Role, You Must Have:
Experience:
- 5–8 years of relevant experience in travel management, visa and immigration, administration, mobility, or corporate services.
- Hands-on experience managing international travel, visa processing, employee mobilization, accommodation, and transportation arrangements.
- Experience in budgeting, cost analysis, vendor management, and operational reporting.
- Experience coordinating with government authorities, embassies, immigration consultants, travel agencies, and other external stakeholders.
Education:
- Bachelor’s degree in Business Administration, Management, Hospitality, Travel & Tourism, or a related field.
Competencies:
- Strong knowledge of corporate travel, visa, immigration, and mobilization processes.
- Strong vendor negotiation and cost optimization skills.
- Excellent coordination, communication, and stakeholder management skills.
- Strong organizational and multitasking abilities with attention to detail.
- Proficiency in Microsoft Office and SharePoint-based record management.
- Strong analytical and problem-solving skills.
- Ability to work effectively in a fast-paced, multicultural, and international environment.
- Strong understanding of compliance, documentation, and process management.
