Job Description

MicroTech is seeking a Hybrid Mail Specialist to support and enhance our end-to-end hybrid mail operations. This is more than a production processing role, it is an opportunity for someone who understands the importance of accuracy, efficiency, security, and quality in a high-volume mail environment and can help ensure critical customer communications are delivered reliably and on time.

The ideal candidate will support the full lifecycle of hybrid mail production, including file intake, print processing, inserting, postage application, and preparation for USPS pickup. This individual will play a key role in maintaining operational excellence by performing quality control checks throughout the production process, ensuring compliance with mailing standards, client requirements, and internal procedures.

The right candidate will assess current workflows, identify opportunities for process improvement, and contribute to the continued success of our mail operations team. They will help maintain production systems, support mail production software and equipment, and ensure that all mail jobs are processed accurately, securely, and within established service levels. Success in this role requires strong attention to detail, a commitment to quality, and the ability to thrive in a fast-paced production environment where reliability and customer satisfaction are critical.

Responsibilities

  • Daily Functions

    • Accesses and manages incoming print files using Fiery software.
    • Operates Ricoh production printers to produce client print jobs according to established specifications.
    • Sets up and operates inserter equipment to accurately insert letters and documents into envelopes.
    • Performs quality control checks to ensure:
      • Correct document sequencing.
      • Proper alignment of addresses within envelope windows.
      • Overall print and insertion accuracy.
    • Identifies and resolves basic production issues; escalates complex equipment or file issues as needed.
    • Runs completed mail through postage meter systems to correctly apply postage.
    • Sorts and prepares metered mail for dispatch.
    • Hands off completed mail to the mailroom team for USPS pickup.
    • Maintains daily production logs, meter counts, and basic mail tracking documentation.
    • Follows all security, confidentiality, and compliance requirements related to client mail.

    Monthly Functions

    • Updates the server with PlanetPress software updates and related configuration changes.
    • Verifies successful completion of updates and reports issues to technical support or management as required.
    • Assists with periodic review of mail production processes for efficiency and accuracy improvements.

Qualifications

QUALIFICATIONS

  • High School Diploma or GED required.
  • Prior experience in print production, mail services, or fulfillment operations preferred.
  • Experience with production printers, inserters, or mailing equipment is a plus.
  • Familiarity with Fiery and PlanetPress software preferred, or willingness to learn.

KNOWLEDGE, SKILLS, AND ABILITIES

  • Working knowledge of production printing and mailing workflows.
  • Basic understanding of USPS mailing standards and postage processes.
  • Strong attention to detail with demonstrated quality control skills.
  • Ability to follow written and verbal job instructions precisely.
  • Effective time management skills and ability to meet strict production deadlines.
  • Basic computer proficiency, including file navigation and production software use.
  • Ability to troubleshoot and resolve routine production or equipment issues.
  • Strong teamwork and communication skills.

WORKING CONDITIONS, MENTAL AND PHYSICAL DEMANDS

  • Work is typically performed in a production print/mail environment.
  • Requires standing for extended periods and frequent walking within the production area.
  • Regular lifting, bending, and reaching may be required; must be able to lift up to 50 lbs.
  • Exposure to printer noise, toner, paper dust, and mailing equipment is expected.
  • Position may involve repetitive tasks and deadlines requiring sustained focus and accuracy.
