Summary
GENERAL DESCRIPTION:
The Wyoming Game and Fish Department is seeking a Hunter Education Systems Coordinator based in Cheyenne, WY. This position will advance the Wyoming Game & Fish Department's mission of conserving wildlife and serving people by providing technical support and systems coordination within the Wyoming Hunter Education Program. This position's primary duties will include maintaining and updating accurate records of legal certification across multiple databases, coordinating with volunteer instructors to ensure they receive course materials, managing an event management system, and supporting customers and hunter education students. This position will also maintain an inventory of instructional materials sent to hunter education instructors statewide and help coordinate events and workshops.

ESSENTIAL FUNCTIONS: The listed functions are illustrative only and are not intended to describe every function which may be performed at the job level.
- Provide technical support and coordination for a network of hunter education volunteers and Wyoming Game and Fish staff involved with hunter education. This includes helping post each class in the online event management system and approving results after the class takes place.
- Facilitate the purchase, inventory, and distribution of hunter education materials to instructors statewide.
- Manage the database of student and instructor records, issue certification cards, evaluate database performance, and address database issues.
- Serve as a subject matter expert and troubleshooting support for volunteers, WGFD staff, and the public that have questions or concerns about hunter education requirements, registration, and certification in the state of Wyoming.
- Compile monthly reports for state and federal reporting.
- Manage the hunter education instructor awards program.
- Administer the hunter education temporary exception program (formerly hunter mentor program).
- Assess needs and maintain a supply of hunter/bowhunter education program materials, including ordering materials and mailing supplies to volunteer instructors.
- Manage contracts and purchasing for software, facility rentals, and educational materials/curriculum.
- Serve the general public, including but not limited to the approx. 5,000 annually certified HE students, by assisting with class information and registration, updating card information in the database, answering questions about lost cards, certification requirements, updating database records for legal name changes, and handling other related inquiries.
- Assist with hunter recruitment and retention programming, conservation education programming, and other statewide education and outreach efforts and events.
- Develop operations SOPs and refine processes for efficiency.
- Frequently operate within online systems and tools including email, Google Workspace, budgeting systems, project management platforms, certification databases, event management and volunteer management platforms.

PREFERENCES/**AGENCY REQUIREMENTS:
- Preference may be given to individuals who have experience in administering volunteer or certification-based programs.
- Preference may be given to individuals familiar with Google Suite, event or volunteer management software, and online databases.
- Preference may be given to individuals with experience in outdoor recreational activities such as hunting, fishing, recreational shooting, trapping, and other wildlife based recreation activities.
***Must have a valid driver's license.
KNOWLEDGE:
- Must have excellent communication skills, strong organizational skills, enthusiasm, flexibility, and a passion for working with others.
- Ability to maintain multiple digital databases and keep personnel and resource files up to date and organized.
- Ability to work independently and make sound judgment calls based upon established guidelines.
- Ability to be detail-oriented and problem-solve.
- Must be able to build and maintain professional and positive working relationships with a large number of volunteer instructors.
MINIMUM QUALIFICATIONS:
Education:
Bachelor's Degree (typically in Public Relations)
Experience:
0-3 years of progressive work experience (typically in Public Relations) with acquired knowledge at the level of a Public Relations Specialist II
OR
Education & Experience Substitution:
4-6 years of progressive work experience (typically in Public Relations) with acquired knowledge at the level of a Public Relations Specialist II

Qualifications
PHYSICAL WORKING CONDITIONS:
- Must be able to lift 30 lbs.
- Must be able to work on occasional evenings and weekends.
- This position requires handling inert firearms.
- Travel within the state is expected.
