Job Goal
The Human Resources Specialist ensures compliance across HR operations and workplace safety programs by auditing processes, analyzing data, and leveraging technology to continuously improve organizational efficiency and safety practices.
Duties and Responsibilities
Monitors compliance with federal, state, and local employment and labor laws—including OSHA, FLSA, and I-9 verification—to ensure the College consistently meets all legal and regulatory standards.
Establishes a structured, ongoing audit schedule and conducts comprehensive reviews of HR records, files, and electronic databases to verify complete accuracy and operational consistency.
Analyzes audit results and reporting data to identify compliance gaps or
procedural bottlenecks, collaborating with HR leadership and college department heads to execute corrective remediation plans.
Tracks and manages HR compliance projects, coordinating key deliverables and timelines to ensure projects are completed accurately and on schedule.
Tracks and audits faculty credentialing and continuing education progress.
Maintains and audits employee demographic, job, and compensation data within the HRIS system, safeguarding data integrity and confidentiality across all employment records.
Updates performance development system information, including employee and supervisor changes.
Researches federal, state, and local regulatory changes, assessing potential operational impacts on the College and recommending timely policy and workflow adjustments to maintain adherence.
Prepares and submits required mandatory state and federal reports, analyzing underlying administrative data flows to streamline reporting mechanisms and eliminate operational friction.
Serves as the primary HR representative on the College Safety and Security Committee, actively supporting college-wide risk management and safety initiatives.
Qualifications
Education & Experience Requirements
Bachelor’s degree in Human Resources, Business, Management, Organizational Development, Health and Safety or related field preferred. Experience in human resources, safety and/or auditing required.
Proficiency in Microsoft Office Suite required. Previous experience with Ellucian Colleague HRIS or other HRIS preferred.
Certifications & Licenses
Certification as PHR, SPHR and/or health and safety preferred. Must possess a valid driver’s license and be able and willing to travel within the District. Health and safety certification preferred.
Essential Functions
Identifies potential workplace hazards, environmental risks, and safety trends to proactively implement preventive measures that reduce employee injuries, health hazards, and facility accidents.
Evaluates existing safety training programs and instructional materials on a regular cycle, recommending and incorporating updates to reflect changing regulatory requirements and best practices.
Investigates, reviews, and logs workplace accidents, injury reports, and safety incidents involving employees, documenting findings to prevent future occurrences.
Administers the College’s Workers’ Compensation and Family and Medical Leave Act ( FMLA) programs, processing claims, tracking leave balances, maintaining communication, and managing return-to-work protocols.
