Job Description
The Human Resources Generalist for Faculty Affairs reports to the Director of Human Resources Operations and partners with the Office of the Provost to manage the administrative faculty contract process and provide general coordination for immigration/visa procedures. The Generalist will also support recruitment employee onboarding and engagement initiatives.
This is a twelve-month, minimum 37.5 hours per week, full-time academic administrative position.
Qualifications
ESSENTIAL JOB FUNCTIONS:
- Manage preparation, distribution (through DocuSign), and intake of contracts for incoming and continuing faculty while maintaining close contact and communication with schools to ensure the accuracy of contract details.
- Accurately input employee data to payroll records in the Colleague System by entering demographic, wage, and compensation information for all faculty while ensuring a high level of detail and meeting timelines.
- Onboarding new employees, including performing I-9 verification and coordinating email and ID.
- Maintain/update the shared FileMaker database and use Excel to reconcile sheets.
- In partnership with the Talent Manager, post positions and assist with staff recruitment activities.
- Coordinate employee immigration and visa-related issues with internal and external constituents and attorneys.
- Work closely with foreign visiting scholars, artists, research scholars, and faculty on immigration/visa matters in the processing of (J-1, H-1B, O-1). Responsible for the completion of the J-1 Annual Visa Report.
- Review and process payments for miscellaneous office invoices, including legal fees.
- Periodically review and assess internal processes to identify areas of improvement and recommend/implement accordingly.
- Maintain discretion and confidentiality in securing and working with sensitive salary and faculty information.
SKILLS/ABILITIES:
- Independent management of a variety of projects with multiple deadlines.
- Excellent written and verbal communication with a variety of constituents and media.
- Detailed and deadline-oriented with a high level of accuracy in managing sensitive data.
- Must have experience in managing confidential information.
- Skilled in the use of
- Microsoft Office and Google Suite applications
- ERP systems, such as Colleague (Ellucian) and FileMaker, PayCom, or other HRIS.
- Online data and forms management platforms, such as Docusign, SEVIS, and Formstack.
EDUCATION:
- BA or BFA degree required, or an equivalent level of direct experience or combination.
EXPERIENCE:
- Three to five years of human resources knowledge, administrative and data management experience, or a combination. Previous experience in higher education, arts, or a related field preferred.
