Job Description

The HR Enterprise System Administrator serves as the primary administrator and subject matter expert for the Health System’s HealthStream learning and competency management platform. While HealthStream is the primary system supported within this role, the administrator will work in close partnership and collaboration with the Cornerstone System Administrator to ensure alignment, integration, and consistency across enterprise learning and talent processes. This role is responsible for system configuration, optimization, governance, workflow management, reporting, and end-user support to ensure a seamless and effective learning experience across the health system. The position partners closely with Nursing & Allied Health operational leaders and educators, Compliance, Continuing Professional Development, Learning, Human Resources, and Information Systems stakeholders to support regulatory requirements, competency management initiatives, organizational learning priorities, and continuous process improvement efforts.

Responsibilities

  • Serves as the primary administrator for one or more enterprise platforms (e.g., iCIMS, Cornerstone, HealthStream, ServiceNow), including configuration, maintenance, optimization, and system governance
  • Configures and manages workflows, business rules, security roles, integrations, and system updates aligned with organizational and governance standards
  • Partners with HR Centers of Excellence and business stakeholders to translate requirements into effective, compliant system solutions
  • Applies understanding of business processes and programs to identify opportunities for process improvement, efficiencies, and system optimization
  • Provides technical support, including troubleshooting issues, resolving tickets, and managing escalations in a timely manner. Also includes creating and updating training and support resources.
  • Supports system implementations, upgrades, and enhancements, including testing, validation, and change management activities
  • Develops and maintains system documentation, standard operating procedures, and governance protocols
  • Ensures data integrity and support compliance and audit reporting and tracking in alignment with regulatory and organizational requirements
  • Generates and analyzes reports and dashboards to support decision-making, compliance, and operational effectiveness
  • Collaborates with IT, vendors, and external partners to resolve issues and optimize system performance
  • Cross-trains on additional HR systems to provide back-up support as needed
  • Performs other duties as required or assigned
  • Qualifications

    • Bachelor’s degree in Human Resources, Information Systems, Business Administration, or related field
    • 3+ years of experience administering or supporting enterprise systems (e.g., HRIS, ATS, LMS, or service management platforms)
    • Familiarity with HRIS systems (e.g. PeopleSoft) and data integrations.
    • For Cornerstone/HealthStream administrators, strong understanding of eLearning standards (SCORM, xAPI, AICC). Basic knowledge of HTML, XML, and API functionality preferred.
    • For ServiceNow administrator, ServiceNow CSA Certification required
    • Technical aptitude with experience in system configuration, troubleshooting, and end-user support
    • Demonstrated ability to translate business requirements into system solutions
    • Strong analytical skills with experience in reporting and data management
    • Excellent communication and interpersonal skills with the ability to work effectively with diverse stakeholders
    • Ability to manage multiple priorities and work both independently and collaboratively in a fast-paced environment
    • Proficiency with reporting and analytics tools
    • High attention to detail and commitment to data accuracy and compliance
