The Human Resources Coordinator plays a key role in supporting ARC’s recruitment and onboarding processes. This position provides essential administrative support, works closely with applicants and hiring managers, and ensures that all pre-hire and onboarding steps are completed accurately, efficiently, and in compliance with federal and state requirements.

This role requires exceptional attention to detail, strong communication skills, and a high level of professionalism. Because this position handles confidential and sensitive employee information, strict adherence to privacy procedures is essential. The HR Coordinator must also demonstrate understanding, sensitivity, and respect for the diverse populations at ARC and within the communities we serve.

Associated Recreation Council (ARC) partners with Seattle Parks and Recreation (SPR) to provide high-quality recreation, enrichment, and lifelong learning programs for people of all ages. ARC is committed to creating inclusive, engaging, and safe programs that strengthen our community.

Duties and Responsibilities

  • Provide administrative support for all pre‑hire and onboarding processes
  • Assist with recruitment tasks including job postings, resume review, prescreening, and interview coordination
  • Serve as the main point of contact for new hires from offer acceptance through clearance to start
  • Enter and manage candidate information in the Paycom ATS and facilitate self‑onboarding
  • Process new hire and rehire paperwork to ensure compliance and accurate employee files
  • Maintain onboarding documentation and tracking sheets in Paycom
  • Schedule and assign orientations and required new hire trainings
  • Conduct background, motor vehicle, and reference checks
  • Follow up on missing documents and ensure timely completion of onboarding requirements
  • Ensure accuracy of onboarding forms including Form I‑9, W‑4, and authorization documents
  • Partner with the HR Generalist to support DCYF licensing compliance
  • Coordinate onboarding tools and track assigned organizational property
  • Communicate onboarding status and clearance‑to‑work updates to hiring managers
  • Support HRIS maintenance through record updates, employee changes, and compliance audits
  • Audit employee files for completeness and resolve missing information
  • Build and maintain collaborative relationships with internal teams and external partners
  • Stay current on employment laws and HR best practices
  • Participate in training and HR team meetings to support process improvement
  • Perform other duties as assigned

Qualifications

  • At least one year of Human Resource Assistant or Recruiting Assistant experience
  • Associate or bachelor’s degree strongly desired; aPHR or PHR preferred
  • Familiarity with standard HR and recruiting concepts and practices
  • Ability to use judgment and experience to plan and accomplish goals
  • Commitment to equity, fairness, impartiality, and reducing barriers through onboarding practices
  • Strong administrative skills and proficiency with Microsoft Office
  • Ability to establish collaborative working relationships with diverse groups
  • Knowledge of employment law and HR best practices
  • High level of confidentiality and professionalism
  • Ability to work effectively with individuals at all organizational levels
  • Creativity and flexibility in problem‑solving

Work Environment: This role operates in a professional office environment and routinely uses standard office equipment such as computers, phones, printers, scanners, and photocopiers.

Physical Demands: While performing the duties of this job, the employee is regularly required to talk and hear, and frequently required to stand, walk, use hands to type or handle materials, and reach with hands and arms.

Position Type and

Schedule: This is a full-time position. Standard work hours are Monday through Friday; however, occasional evening or weekend work may be required depending on organizational needs.

Travel: This position may require occasional travel to ARC-supported community centers.
