Description

The HR Coordinator plays a key role in supporting positive and proactive employee experience by delivering responsive, high‑quality HR services across the organization. Through daily interactions with employees and leaders, the HR Coordinator provides timely guidance, gathers valuable insights, and supports the implementation of HR initiatives. This role partners closely with the HR team to assist in all functional areas of Human Resources, including onboarding, benefits & pension administration, and employee‑focused support.

Task & Responsibilities:

HR Inbox Management & Administration

• Monitor and manage the shared HR inbox as the first point of contact for employee inquiries.
• Respond to general HR questions, ensuring employees receive clear and helpful information.
• Identify and flag emails requiring escalation to the appropriate HRBP.
• Prioritize incoming messages based on urgency and subject matter, ensuring time‑sensitive items are addressed promptly.
• Ensure confidentiality and discretion when handling sensitive employee information.

New Hire Onboarding & Orientation

• Coordinate with hiring managers to ensure all pre‑start requirements (equipment, system access, training schedules) are prepared in advance of the employee’s first day.
• Assist in facilitating the new hire orientation process for all branches, ensuring a smooth and welcoming experience for new hires.
• Follow up with new employees to ensure completion of all onboarding tasks and required documentation within BambooHR.
• Review completed onboarding packets in BambooHR, download all relevant documents, and file them accurately within the employee’s digital file.
• Maintain accurate and up‑to‑date onboarding records, tracking completion rates and flagging any delays or missing items to the HR team.
• Contribute to continuous improvement of onboarding materials, processes, and orientation content to enhance the new‑hire experience.

Employee Benefits & Pension Administration

• Support new hires through the benefits and pension enrollment process by following up to ensure all forms and online enrollments are completed accurately and submitted on time.
• Respond to immediate employee questions regarding benefits, pension plans, eligibility, coverage details, and enrollment steps.
• Send benefit enrollment confirmation emails to new hires, including effective dates and benefit card information.
• Maintain accurate employment data in Blue Cross, ensuring changes are processed promptly.

Projects and Other Duties

• Participating in the L&D employee program by collecting feedback and creating a plan
• Take initiative in recommending policy enhancements and identifying opportunities to streamline HR processes to improve efficiency and employee experience.
• Assist in planning, coordinating, and supporting activities that promote employee engagement, recognition, and retention across all branches.
• Participate in the Social Committee and contribute to planning internal events, celebrations, and culture‑building initiatives.
• Support internal communication efforts
• Perform other duties as assigned to support the HR team and organizational priorities.

Education & Experience Requirements

• Completion of a recognized Human Resources Management diploma program or equivalent combination of education and experience.
• Working toward the CHRP designation is preferred.
• 1–2 years of proven experience working in an HR department, including exposure to HR operations, supporting HR professionals, and assisting with the implementation of HR initiatives.

• Demonstrated professionalism, discretion, and a high level of confidentiality in handling sensitive information.
• Exceptional accuracy and attention to detail in all aspects of work.
• Proven ability to build high‑trust relationships and collaborate effectively within a multidisciplinary team.
• Resourceful problem‑solver with solid knowledge of HR procedures, policies, and best practices.
• Strong sense of curiosity and eagerness to learn new processes, systems, and HR concepts.
• Comfortable adapting to change and thriving in a dynamic, evolving workplace.
• Ability to work independently, prioritize tasks, and manage competing demands effectively.
• Excellent organizational and time‑management skills.
• Familiarity with relevant employment legislation, including but not limited to the Employment Standards Act (ESA), Labour Relations Act, and Occupational Health and Safety Act.
• Experience using HRIS systems and the ability to learn new technologies quickly.
• Proficiency in MS Office and related software applications.
• Ability to think creatively and offer innovative solutions to improve HR processes and employee experience.
