The University of Miami/UHealth has an exciting opportunity for a Sr. Human Resources Specialist. The Sr. Human Resources Specialist - Medical assists with the administration of the day-to-day operations of human resources functions and duties in one or more of the following functional areas: Client Services (employee relations), Training and Organizational Development, Benefits, Compensation, Talent Acquisition, Workplace Equity and Performance etc.

Core Job Functions:

1. Assists with the implementation of the department’s services, policies, and programs to include supporting department staff with data gathering for projects, performance of administrative duties, and process improvement efforts etc.
2. Compiles and maintains departmental records, logs, databases and/or HR forms.
3. Tracks departmental measurements that support the accomplishment of the University’s strategic goals as the Human Resources mission.
4. Prepares and maintains reports that are necessary to carry out the specific HR function.
5. Participates in administrative staff meetings and attends other meetings and seminars as necessary and represents the department.
6. Provides customer service for area by reviewing and responding, via phone, email or in person, to employee requests and questions concerning department services, activities, and general operations. Directs questions, complaints, and other employees’ concerns to the appropriate staff for handling.
7. Assists with the development of department communications by drafting and/or editing communication content. Reviews HR functional area webpages to ensure accuracy of information. Works with department leadership to correct misinformation.
8. Serves as a liaison between other functional HR areas.
9. Adheres to University and unit-level policies and procedures and safeguards University assets.

Core Qualifications:

Education:

Associate degree in relevant field required

Experience:

Minimum 3 years of relevant experience required

Department Specifics Functions:

The HR compliance specialist assists the HR compliance Auditor in auditing, monitoring, and enhancing Human Resources processes related to employee records management to ensure compliance with organizational policies and applicable federal, state, and regulatory requirements. This position conducts independent reviews of electronic and hard-copy personnel records to verify that employee documentation, credentials, and other HR requirements are obtained, maintained, and monitored accurately and in a timely manner.

The HR Compliance Specialist analyzes personnel records to identify compliance gaps, documentation deficiencies, and process improvement opportunities, and works collaboratively with other Human Resources representatives, managers, and other internal employees and managers to correct findings. Additionally, the incumbent ensures that employee records are updated and maintained in accordance with established standards, supports compliance-related audits, and promotes effective communication across HR functions to maintain accurate and compliant employee records.

1. Conducts independent audits and reviews of employee personnel records.
2. Verifies compliance of employee records with organizational policies and applicable federal, state, and regulatory requirements.
3. Identifies and reports documentation deficiencies, compliance risks, and areas requiring corrective action.
4. Collaborates with HR representatives and operational leaders to resolve compliance issues and ensure accurate record maintenance.
5. Monitors the timely collection, validation, and retention of required employee documentation and credentials.
6. Maintains confidentiality and integrity of sensitive employee information.
7. Supports internal and external audits, compliance initiatives, and process improvement efforts.
8. Provides timely and concise audit feedback to HR representatives and leaders.
9. Assists in developing and implementing procedures that strengthen HR recordkeeping and compliance practices.
10. Adheres to University and unit-level policies and procedures and safeguards University assets.
