
The Human Resources Associate will report to the Group Human Resources Manager and provide human resource development and administrative support to the HR Team and the wider organization.
Prepare job letters and other correspondence for staff.
Process leave applications and maintain accurate leave records.
Liaise with department heads to ensure staff take vacation leave according to their entitlements.
Assist with ordering and distributing uniforms.
Perform general administrative duties, including preparing correspondence, filing, scanning, emailing, and faxing.
Schedule interviews and set appointments with prospective candidates.
Send follow-up emails to candidates with interview details (location, day, time).
Organize interview panels and distribute supporting documents (resumes, applications, evaluation forms).
Conduct reference checks and complete Reference Check Forms.
Assist with organizing training sessions and employee engagement activities.
Prepare employment contracts and supporting documentation.
Respond to employee inquiries regarding company policies and procedures, including leave entitlements and disciplinary matters.
Distribute health and life insurance documentation, including health cards, claim forms, and enrollment forms.
Liaise with health and life insurance brokers to resolve employee queries and obtain coverage information.
Assist with onboarding new employees, including conducting facility tours and generating welcome notices.
Support compliance by enforcing company policies and procedures as outlined in the Employee Handbook and HR Policy Manual.
Liaise with security personnel to ensure background checks are conducted and completed promptly.
Professional certificate in Human Resource Management or equivalent.
Minimum of three (3) years’ experience in a similar role.
Strong oral and written communication skills.
Excellent attention to detail.
Strong interpersonal skills.
Ability to handle confidential information with discretion.
Proficient in Microsoft Office Suite (Excel, Word, PowerPoint).
Knowledge of HR software is an asset.
