Position Summary
The Human Resources Assistant / Generalist is an integral member of the Human Resources team and serves as a key point of contact for employees and managers throughout the employee lifecycle. This position will have a primary focus on the onboarding process and new-hire orientation, ensuring that every new employee experiences a welcoming, organized, and engaging introduction to the organization.
The HR Assistant / Generalist will coordinate and facilitate new-hire activities from the acceptance of an offer through the employee's first days and weeks of employment. This position will also provide support across a variety of HR functions, including employee records, recruitment, compliance, employee relations, benefits administration, and general HR operations.
Essential Duties & Responsibilities
New Hire Onboarding & Orientation — Primary Focus
- Coordinate the end-to-end onboarding process for all new employees, ensuring required steps and documentation are completed accurately and timely.
- Serve as the primary HR contact for new hires before and throughout their onboarding experience.
- Coordinate pre-employment requirements, including background checks, employment documentation, required forms, and other onboarding activities.
- Prepare onboarding materials, and orientation schedules.
- Coordinate new-hire orientation sessions and ensure employees receive a comprehensive introduction to the organization, culture, policies, procedures, benefits, and expectations.
- Partner with department leaders and managers to ensure new employees are prepared for their first day, including workspace, equipment, access, schedules, and department-specific onboarding.
- Communicate onboarding timelines and expectations to new hires, managers, and appropriate departments.
- Ensure all required employment documentation is completed and maintained in accordance with company policies and applicable regulations.
- Track onboarding progress and follow up on outstanding requirements.
- Coordinate required training and ensure completion of mandatory onboarding education.
- Help develop and maintain onboarding resources, checklists, presentations, handouts, and other orientation materials.
- Regularly evaluate the onboarding experience and recommend improvements to increase engagement, efficiency, and new-hire retention.
- Conduct new-hire check-ins as appropriate to ensure employees have the resources and support needed during their transition into the organization.
Human Resources Generalist Responsibilities
- Maintain accurate and confidential employee personnel records and HR information.
- Assist with recruitment activities, including job postings, candidate communication, and pre-employment processes.
- Assist employees and managers with routine HR questions and direct more complex matters to the appropriate HR team member.
- Support benefits administration and assist employees with general benefits questions and enrollment processes.
- Assist with employee status changes, transfers, promotions, leave documentation, and other employment-related transactions.
- Maintain HR reports, spreadsheets, tracking logs, and other HR-related documentation.
- Assist with compliance activities and ensure required documentation is maintained.
- Support employee recognition, engagement, and other HR initiatives.
- Assist with employee communications, HR announcements, and distribution of policies and information.
- Provide administrative support for performance management, employee relations, and other HR processes.
- Maintain a high level of confidentiality when handling sensitive employee information.
- Participate in special projects and process-improvement initiatives as assigned.

Qualifications
Required:
- High school diploma or equivalent required.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Strong attention to detail and follow-through.
- Ability to manage multiple priorities and meet deadlines.
- Proficiency with Microsoft Office, including Word, Excel, Outlook, and Teams.
- Ability to maintain confidentiality and exercise sound judgment.
- Professional, approachable, and customer-service-oriented demeanor.
Preferred:
- Experience coordinating employee onboarding or new-hire orientation.
- Familiarity with employment documentation and HR compliance requirements.
- Experience in a healthcare or other highly regulated environment.
