Purpose

Supports daily HR operations by providing reliable, accurate, and service focused HR support across the employee life cycle. This role serves as the first point of contact for employee inquiries, ensures smooth coordination of onboarding, maintains accurate employee records, and supports coordination of benefits and administrative processes. With a strong focus on responsive service, the HR Assistant maintains critical HR information, handles employee inquiries, and supports daily HR functions with professionalism, confidentiality, and care.

Essential Functions

HR Administration & Team Member Support (30%)

Provide day-to-day administrative support for HR activities and serve as a primary point of contact for routine team member inquiries through established communication channels. Provide accurate and timely information regarding routine HR processes and direct questions requiring additional guidance to the appropriate HR team member. Maintain HR inboxes and ticketing activities, track requests, and ensure follow-up on outstanding items. Process routine employee changes and transactions according to established procedures. Maintain confidentiality and professionalism when handling employee information and interactions. Support HR communications, administrative activities, and other routine HR processes as assigned.

Recruiting & Onboarding Support (25%)

Provide administrative and coordination support throughout the recruitment and onboarding process. Coordinate job postings, candidate communications, interview scheduling, assessments, background checks, drug screens, physicals, pre-employment requirements, offer documentation, and new-hire paperwork in partnership with the Recruiter and HR Generalist. Complete required HRIS transactions, new-hire reporting, system access requests, and onboarding documentation. Complete routine compliance activities, including I-9 and E-Verify processing, Social Security verifications, required reporting, audits, and documentation. Prepare orientation materials and coordinate onboarding logistics to support a consistent and welcoming new-hire experience. Maintain accurate recruiting and onboarding records and track completion of required activities. Escalate questions, exceptions, or issues requiring HR judgment to the HR Generalist or appropriate HR team member.

HRIS & Personnel Records (25%)

Enter, update, and maintain accurate employee information in HR systems, including new hires, job changes, transfers, benefits changes, and separations. Maintain organized and confidential electronic and physical personnel records and support routine file audits. Complete routine HRIS transactions and data updates in accordance with established procedures. Assist with standard reports, data requests, and audits as assigned. Maintain required documentation and ensure records are complete, accurate, and accessible to authorized users. Support HR system processes, including routine troubleshooting and employee assistance, and escalate system issues requiring additional expertise.

HR Projects and Engagement Support (20%)

Assist with ongoing HR initiatives, compliance projects, or cross-functional efforts as needed. Partner with team members to support employee engagement initiatives, such as recognition programs, wellness activities, surveys, and internal events. Contribute to continuous improvement by offering feedback and insights from the employee perspective. Support benefits, wellness, recognition, engagement, and other HR programs through administrative coordination and timely completion of assigned activities.

Additional duties may be assigned as required by business necessity may be added, deleted, or changed at any time at the discretion of management, formally or informally, either verbally or in writing to meet organizational goals and priorities.

Qualifications

  • Education: High school diploma or equivalent required. Associates degree in Business, Human Resources, or related field preferred.
  • Experience: At least 2 years of administrative experience in HR or a related field preferred.
  • Certification(s) and License(s): N/A
  • Leadership: N/A
  • Computer Skills: Proficiency in Microsoft Office required. Experience using HRIS systems is preferred.
  • Other Requirements: Must be detail-oriented and able to manage multiple priorities. Excellent communication and confidentiality are essential.

Physical Demands
