Job Description

Westgate Resorts is seeking a Human Resources Assistant - Entry Level | Ocoee, FL | On-Site to support daily HR operations and ensure a seamless Team Member experience. This full-time, on-site Human Resources Assistant role in Ocoee, FL is hiring immediately and is ideal for candidates looking to build a career in Human Resources within a fast-paced hospitality environment. The Human Resources Assistant will maintain employee records, support onboarding and compliance processes, and assist with internal communications while handling confidential information with discretion.

Success in this Human Resources Assistant role requires strong organizational skills, attention to detail, and the ability to handle sensitive information professionally. The ideal candidate is customer-service driven, proactive, and comfortable working in a structured, on-site environment. This role offers hands-on exposure to HR operations, compliance, onboarding, and employee relations support within a growing organization.

What You'll Do:

  • Serve as the primary point of contact for the HR office; greet Team Members and visitors and respond to inquiries or route to appropriate departments (Benefits, Payroll, etc.).
  • Maintain HR office supplies, forms inventory, and labor law posters.
  • Maintain accurate electronic and paper personnel records, including I-9 documentation and compliance tracking.
  • Organize and retrieve HR documents for audits, employee relations, and legal requests.
  • Verify completion of required Team Member acknowledgements and documentation.
  • Provide timekeeping support using HRIS systems (ADP preferred).
  • Support onboarding processes, including workspace setup, system access, and documentation.
  • Maintain HR shared drive/network folders and ensure document accuracy.
  • Keep HR office organized and operationally efficient.
  • Draft and distribute internal communications, notices, and HR correspondence.
  • Assist with document mailings for current and former Team Members.
  • Review, code, and submit invoices and maintain expense documentation.
  • Assist with Benefits meetings, Team Member engagement activities, and HR events.
  • Coordinate travel arrangements for HR leadership as needed.
  • Support HR reporting, presentations, audits, and documentation.
  • Provide administrative support to HR leadership and special projects.
  • Perform additional duties as assigned.

Qualifications

Experience

  • 1–2 years of experience in administrative or entry-level HR roles.
  • Experience supporting office or departmental operations.
  • Experience with HRIS systems (ADP preferred).
  • Experience with document management systems (ImageQuest preferred).

Education

  • Associate’s degree in Business Administration, Human Resources, or related field preferred.

Skills

  • Strong confidentiality and professionalism handling sensitive HR data.
  • Excellent organization, prioritization, and time management skills.
  • High attention to detail and accuracy.
  • Strong written and verbal communication skills.
  • Ability to work effectively with Team Members and leadership.
  • Proficiency in Microsoft Office (Word, Excel, Outlook).
  • Bilingual English/Spanish is a plus.
