Elderwood Assisted Living at Vestal is seeking an organized, people-focused professional to serve as our HR & Business Office Coordinator. This is a highly visible role within the community, responsible for supporting employee recruitment and onboarding, payroll and HR administration, resident billing support, and overall business office coordination.

Responsibilities

What You'll Be Responsible For as HR & Business Office Coordinator:

Recruitment & Employee Onboarding

  • Coordinate hiring, interviewing, onboarding, and orientation activities for the community

  • Support recruitment efforts through job postings, hiring events, employee referrals, and community outreach

  • Ensure new hire paperwork, licensing, health clearances, and onboarding requirements are completed accurately and timely

  • Serve as a resource to employees regarding HR policies, benefits, payroll, and general employment questions

Payroll, Benefits & HR Administration

  • Assist with payroll processing, timecard review, and HRIS data maintenance

  • Support employee benefits enrollment, leave tracking, and employment record management

  • Maintain personnel files, compliance documentation, and required reporting

  • Coordinate employee recognition, retention initiatives, and engagement activities

Employee Relations & Operational Support

  • Help managers navigate employee concerns, performance documentation, and policy interpretation

  • Support a positive workplace culture through communication, consistency, and employee support

  • Partner with community leadership on staffing, scheduling coordination, and HR best practices

  • Maintain confidentiality and professionalism in all employee matters

Business Office & Resident Financial Support

  • Assist with resident billing, private pay accounts, deposits, reconciliations, and business office operations

  • Support admissions paperwork and resident account documentation

  • Help maintain accurate census, financial records, and reporting

  • Serve as a professional point of contact for residents and families regarding billing and account-related questions

General Administrative Responsibilities

  • Maintain organized records and ensure compliance with company policies and regulatory requirements

  • Support audits, reporting, and month-end administrative processes

  • Assist with special projects, operational initiatives, and community events as needed

  • Provide exceptional customer service to residents, families, staff, and visitors

Qualifications

HR & Business Office Coordinator

  • Bachelor’s or Master's degree in Human Resources, Business or other related field OR a minimum of five years of experience in a Human Resources management role.
  • At least one year of demonstrated business training, including typing and bookkeeping
  • PHR is preferred.
  • Demonstrable knowledge in state & federal labor laws, FMLA, OHSA, & COBRA.
  • Must have prior recruitment and employee onboarding experience.
  • Prior payroll and benefits experience strongly preferred.
  • Must be proficient in Microsoft Office, highly organized, detail oriented, & quality focused.
  • Strong written and verbal communication skills required.
  • Effectively prioritize job responsibilities in a fast-paced environment.
  • Ability to successfully self-manage and work autonomously.
  • This position requires regular interaction with residents, coworkers, visitors, and/or supervisors. In order to ensure a safe work environment for residents, coworkers, visitors, and/or supervisors of the Company, and to permit unfettered communication between the employee and those residents, coworkers, visitors, and supervisors, this position requires that the employee be able to read, write, speak, and understand the English language at an intermediate or more advanced level.
