Job description:

The Human Resources Administrator plays a key role in providing comprehensive administrative support to the HR department across multiple functions, including recruiting, onboarding, employee records management, and employment law compliance.

The HR Administrator is key to ensuring the smooth day-to-day functioning of the HR department. This role not only involves maintaining accurate records and providing essential HR-related services, but also supports the overall effectiveness and efficiency of the HR department. By managing these essential functions, the HR Administrator helps create a positive work environment that promotes employee engagement and compliance with organizational standards.

Main responsibilities:

  • Carrying out current administrative work related to the HR department.
  • Preparation of documents related to employee work and remuneration.
  • Registration of employees and management of their personal and employment documentation.
  • Providing support to employees in current personnel and remuneration matters.
  • Entering and updating employee data in payroll and personnel systems.
  • Preparation of reports and documents for inspection by state bodies and external institutions.
  • Strong focus on compliance, payroll, and employee records.
  • Employee onboarding and offboarding.
  • Labor law adherence, H&S systems, and works council activities.
  • Employee benefits management and consulting on the implementation of effective C&B solutions to align with the total compensation management strategy and business goals and to remain competitive in the retail market.
  • Support for employees and management staff in the areas of training and development.
  • Creating assumptions for personnel policy, remuneration, career paths and employee development,
  • Supporting administrative activities: supporting the processes of concluding contracts with subcontractors and verifying invoices.
  • Supporting the proper conduct of internal communication to employees.
  • Preparing analyses, reports and presentations within the scope of responsibility.
  • Support the company in taking correct actions in terms of compliance with local labor laws and remuneration policies for the assigned district.
  • Conducting audits of HR processes and documentation, including recruitment and termination practices.
  • Assist in the preparation of policies, procedures and manuals for designated regions.
  • Regularly reviewing internal management policies and monitoring internal compliance.
  • Continuous development of the human resources management panel and employment planning tools.
  • Data analysis, reporting, and systems optimization.
  • Translating and visualizing data to better understand business activities, maintaining and developing planning and reporting systems and databases.
  • Monitoring and conducting regular reserve reconciliation and planning, ensuring the highest standards of reporting and data quality.
  • Managing the bonus payment process, ensuring rules are up to date.
  • Optimization of HR and controlling processes and updating of organizational charts.
  • Close cooperation with other departments of the Group's controlling and accounting team.
  • Taking active part in local and international projects and developing analytical tools.
  • Ensuring compliance with regional regulations relating to works councils and overseeing compliance with privacy, health and safety and wage regulations.
  • Leading the development, implementation and optimization of appropriate H&S systems and processes for the entire region.

Retail Sales Responsibilities

  • Collaborate with retail operations management to align HR strategy with business goals.
  • Developing and implementing HR policies and programs tailored to the retail sector, taking into account industry trends.
  • Providing advice and coaching to retail managers on employee relations, performance management, talent development and succession planning.
  • Collaborate with internal HR and external vendors to ensure effective recruitment and onboarding of talented retail employees.
  • Supporting and planning retail workforce by analyzing staffing needs and recommending strategies to acquire and retain talent.
  • Conducting human resource analysis and providing retail management with information on employee engagement and turnover.
  • Advising store managers on implementing fair HR policies, ensuring compliance with legal requirements and company standards.
  • Overseeing the latest trends in HR and sharing insights with HR managers.
  • Supporting ongoing employer branding activities.
