The Human Resources Administrative Assistant is a cross functional position that oversees the daily administrative, supportive and reporting functions of the office. This position provides friendly and responsive customer service, professionally greeting all visitors to the office and answering the departments main phone line. The HR Administrative Assistant also handles all Employment and Unemployment verifications for Sedgwick County, and acts as a point of contact for departments with questions about completing reference checks for other organizations. This position regularly works with highly confidential information.

Office Support and Customer Service

  • Greet all visitors, and direct them to the appropriate staff member or department
  • Answer, screen, and route department telephone calls to the appropriate staff member or department
  • Receive, sort, stamp, and distribute mail to the appropriate staff member or department
  • Manage preventative and as-needed maintenance for all equipment and machines in the office
  • Oversee organization of the supply room, including tracking supply inventory
  • Act as the department shopper, monitoring inventory, taking purchase requests, and ordering supplies
  • Process invoices for Human Resources, ensuring payments are accurate and from the correct fund center
  • Track purchasing shopping carts to ensure all are closed at the end of the fiscal year
  • Oversee mailboxes receiving sensitive personnel information ensuring documents are completed, routed and scanned timely and appropriately
  • Assist all Human Resource departments as needed

Identification Badge System

  • Serve as the point of contact for employee badge requests and system controls.
  • Manage identification badge process, creating and deactivating identification badges.
  • Troubleshoot access issues and coordinate resolutions with departments and IT staff.
  • Routinely conduct audits to ensure proper access permissions and security.
  • Coordinate with departments regarding security or access changes.

Budget and Contracts

  • Keep the Chief Human Resources Officer informed about monthly expenditures and fund center moves
  • Work with finance to transfer funds between fund centers as needed
  • Prepare summaries of division finances for department directors to ensure expenditures are on track during the year
  • Submit Human Resources contract and agenda items into the agenda management system

Unemployment and Employment Verifications

  • Manage the separation notification process
  • Access the Kansas Department of Labor (KDOL) Unemployment Insurance website to review unemployment claims
  • Review information on unemployment claims for discrepancies by reviewing personnel records, timesheet reports, other documentation, and by directly contacting the employee’s supervisor or manager for clarification as needed
  • In cases with discrepancies, submit clarifying information to KDOL
  • Prepare needed documentation, notify and prepare supervisors for hearings, and attest on behalf of the records provided during hearings
  • Notify current employees and KDOL of fraudulent claims submitted
  • Complete audits as requested from KDOL
  • Act as a point of contact for departments on how to complete reference checks, including language, which information to release, and proofreading
  • Manage the employment verification process including verbal employment verifications

Minimum Qualifications: Two years of experience providing customer service or administrative support in an office setting.

Preferred Qualifications: Two years of experience in Human Resources or a related field.
