This role provides comprehensive HR operational support across the employee lifecycle, encompassing staff confirmation and probation administration, where the incumbent coordinates appraisal processes, prepares confirmation and extension letters, and ensures proper documentation. It also includes handling employee queries on HR policies, issuing certification letters for various official purposes, and managing actuarial increment processes.
The position oversees government-paid leave administration, ensuring accurate claims submission and tracking, as well as regulatory reporting to authorities such as MOM. Additionally, the role covers end-to-end offboarding, supports HR projects and initiatives, and administers employee benefits. It also contributes to recruitment activities, including resume screening, interview coordination, and offer management, while providing administrative support to HR Business Partners through manpower tracking and regulatory screening exercises.
Position Responsibilities:
1) Staff Confirmation Administration
Sent out notification to Managers to complete Appraisal Form for staff confirmation.
Follow-up on completion from Managers
Prepare Staff Confirmation Letters for signatory
Sent signed confirmation letters to Managers for communication
File a copy of signed appraisal form and confirmation letter in employee e-p/file
For extension of probation:
Notify HRP & ER on the manager’s decision to extend the staff probation
Prepare extension of probation letter for sign-off
Sent signed confirmation letters to Managers for communication
File a copy of signed appraisal form and confirmation letter in employee e-p/file
2 weeks before the extension of probation date ends, sent out notification to Managers to complete Appraisal Form for staff confirmation.
Follow-up on completion from Managers
Prepare Staff Confirmation Letters for signatory
Sent signed confirmation letters to Managers for communication
File a copy of signed appraisal form and confirmation letter in employee e-p/file
2) Attend to employee’s queries related to HR policies, etc
3) Preparation of Certification letters upon employee’s request for purpose of bank account opening, PR applications, Visa applications, POEA, etc
4) Actuarial Increment Administration
Verify and update actuarial paper qualification on excel file
Retrieve salary information from Payroll Register
Prepare actuarial increment letter and send for signatory
Send signed letter to manager for communication to staff and instructions to update Workday. Update payroll for payment.
File a copy of the signed actuarial increment letter in employee e-p/file
5) Govt Paid Leave Administration (quarterly basis)
Compile information from various reports in preparation for a database file to file claims
Check and validate records on particulars of employee and dependents, leave types and applications
Make claims thru government portal
Track on submissions vs approved or rejected claims and follow-up rejected claims with government agency and employee if required
Put up Misc. collection form to Finance upon receipt of payments from government.
Set up proper filing records for reference
6) Labour Market survey to MOM
Compile information from employee database and file regular OED, Labour Market survey to MOM
7) Offboarding
Manage the offboarding process end to end. This includes email notifications to relevant stakeholders and ensure proper record management
8) Projects:
Online Visa Application Letter / Requests
Update on Standard Operating Procedure for Government Paid Leave claims
Career Fair
9) Benefits Administration:
Corporate passes endorsement
Issuance of newborn vouchers
10) Recruitment
Sieve resumes for internship program
Coordinate interview sessions
Send offer emails and prepare offer letters
Manage Job Postings (internal & external)
11) Support to HRBPP
Consolidate manpower requisition requests and brief HRBP on a regular basis before the meeting for approval
Send approval emails to stakeholder
Conduct MAS regulatory annual screening exercise on employees
Required Qualifications:
Currently pursuing an undergraduate degree
Self-motivated with a strong desire to learn
Able to commit from 6 months to 1 year period
Attention to detail and strong analytical skills.
Basic knowledge of Microsoft Excel; familiarity with VBA or other tools is a plus.
