Are you organised and capable with strong administration experience? Smart Environmental Ltd is seeking an HR Coordinator to join their HR team.

Smart Environmental Ltd works on behalf of local councils, businesses, and communities providing rubbish and recycling collections. Acquired by Blue Planet and with a large fleet of collection vehicles and line haul operations, our mission is to divert waste from landfill.

About the role

We’re looking for an experienced and detail-focused HR Coordinator to become the coordination and administration hub of our People team. Someone who takes ownership of their work, enjoys keeping people processes running smoothly and can be relied on by their colleagues to support with the smooth running of the People function.

This is a varied role that goes beyond standard HR administration. You’ll coordinate key stages of the employee lifecycle, provide first-line support to managers and employees using Employment Hero, and produce the recurring people reports used by our senior leadership team.

Reporting to the GM People & Safety, you’ll work closely with the HR Advisor, HR Business Partner, Managers and Payroll.

Key responsibilities

  • Coordinating employee lifecycle administration from offer through to exit, including employment documentation, variations and leave records
  • Maintaining accurate people data, employee records and personnel files within Employment Hero
  • Managing routine employee and manager queries and escalating matters requiring HR advice
  • Monitoring the HR email inbox and ensuring requests are actioned and responded to
  • Provide first-line Employment Hero support, including navigation, workflow queries and basic troubleshooting
  • Support managers and employees to confidently use HR systems and self-service processes
  • Produce monthly people reporting, including headcount, employee movements, turnover, leave liability and recruitment activity
  • Coordinate recruitment administration, including advertising, applicant tracking, interview scheduling, candidate communication and pre-employment checks
  • Prepare offer and employment documentation using approved templates
  • Ensure all completed and signed new starter offer documentation and payroll paperwork is received, checked and entered into the HR system prior to commencement
  • Maintain HR templates, process documentation and user guides
  • Identify recurring administrative issues and suggest practical improvements

About you

  • Strong administration and coordination experience, with the ability to maintain accuracy while managing a busy workload
  • Confidence using HR or business systems and the ability to be the trusted point of contact for system queries
  • Competence using excel or equivalent reporting tools, including the ability to review and sense check information
  • Clear written and verbal communication skills and confidence working with managers at different levels
  • Excellent judgement, discretion and the ability to maintain confidentiality
  • Ability to manage competing priorities and meet fixed deadlines
  • Experience with Employment Hero or a similar HRIS would be valuable.
