Job Description

  • Job Title: HSQE Assistant
  • Reports to: HSQE Officer – DPA/CSO
  • Location: Athens - GR

We are seeking a motivated and detail-oriented HSQE Assistant to join our shore-based HSQE team in Athens. The successful candidate will support the implementation and maintenance of the Company's integrated Management System across the fleet and will work closely with the HSQE Manager, DPA and the wider department to ensure ongoing compliance and continuous improvement.

We are a growth-oriented global shipping company engaged in the seaborne transportation of a wide range of commodities along worldwide shipping routes through our ownership of dry bulk and tanker vessels. Our primary goal is to grow our fleet through acquisitions of new and modern vessels.

Main Responsibilities

  • Assists with the establishment, implementation and maintenance of the Company's Management System in compliance with the requirements of the ISM Code, Industry Best Practices and all applicable ISO standards
  • Promotes safe working practices across fleet vessels in accordance with industry standards, current regulations and the Company's HSQE Manual
  • Monitors the activities of managed vessels (wet fleet / LPG fleet) to ensure compliance with HSQE-related activities and the Company's Management System. For Astro Bulkers vessels, provides administrative support to the HSQE Officer as directed by the HSQE Manager
  • Assists with the implementation and incorporation of changes into the Company's Management System in a controlled manner, in line with the Management of Change process
  • Supports the maintenance of the Electronic Management System (document control, incidents, actions, records) in line with guidelines received from the HSQE Manager
  • Assists with issuance and update of Circular Letters, Marine Letters and Alerts
  • Prepares, tracks and maintains records relating to the electronic distribution of Company Manuals and other controlled documents
  • Assists with the planning and coordination of external and internal audits, both ashore and on-board Company vessels
  • Participates in vessels' preparation for forthcoming external inspections (SIRE, CDI, Terminal, Flag State, etc.) in respect of HSQE aspects
  • Updates the annual internal audit and attendance plan in line with Company-specified intervals
  • Assists with preparation and maintenance of audit process records and communicates same to the required personnel
  • Assists the DPA with investigation of non-conformities within the HSQE Management System, in cooperation with other department heads, keeping records up to date and proceeding with corrective/preventive actions within set timeframes
  • Assists the HSQE Department with record keeping, statistics and production of reports on HSQE matters
  • Assists with receipt and distribution to vessels of Rules, Regulations, Codes, Guidelines and Publications relevant to the Management System, as well as amendments thereto
  • Assists the DPA with monitoring and distribution of forthcoming legislation applicable to the Company
  • Assists with coordination of Management Review Meetings and associated record keeping
  • Participates in the Emergency Response Team as assigned by the DPA
  • Promotes awareness of Safety, Environmental and Customer requirements throughout the organization

Requirements

Desired Skills & Experience

  • Educated to degree level, preferably in Maritime Studies, Shipping or related field
  • 1-2 years of experience in similar role
  • Marine background as a deck officer is considered an advantage
  • Familiarity with HSQE processes
  • Strong organizational and administrative skills with high attention to detail
  • Effective communication and interpersonal skills
  • Computer literate (Microsoft Office 365, BENEFIT ERP system)
  • Ability to work under pressure, manage multiple tasks, and meet tight deadlines
  • Proactive, positive working attitude with strong sense of responsibility and teamwork
  • Fluent in both Greek and English (any other languages is a plus)
