Audubon is currently seeking an HSE Field Support Coordinator to join our team in our Houston TX Office. The HSE Field Support Coordinator will coordinate Health, Safety, and Environmental (HSE) compliance initiatives, administers the corporate drug and alcohol program, and supports safety programs across both office and field operations. It ensures adherence to company policies and regulatory requirements through effective program management, data tracking, and administrative support. Responsible for overseeing regulatory compliance efforts, coordinating pre-employment drug and alcohol testing, maintaining accurate records and data systems, and supporting safety training initiatives. The role also involves working closely with hiring managers to provide updates on candidate testing status and ensure timely onboarding. As a full-time, in-office position, it plays a key role in maintaining workforce readiness by monitoring and documenting compliance testing, ensuring alignment with applicable laws and regulations, and serving as a liaison between the Safety and Human Resources departments.
PRIMARY RESPONSIBILITIES
- Travel to project sites to support HSE initiatives, training, and compliance activities as needed
- Provide administrative and coordination support for field safety operations
- Serve as the primary liaison for candidates and employees during pre-employment and ongoing drug and alcohol testing processes
- Coordinate, schedule, and monitor pre-employment, random, and follow-up drug testing to ensure timely completion and compliance
- Track and document all stages of testing, including communication with laboratories, collection sites, and HR
- Conduct DOT history checks and maintain accurate, audit-ready compliance records
- Maintain and administer drug and alcohol testing programs, including management of company testing pools
- Train HSE personnel on DOT drug testing procedure and documentation
- Assist in the implementation, maintenance, and continuous improvement of HSE policies, procedures, and safety programs
- Provide administrative support to the HSE team, including scheduling, correspondence, document control, and coordination across multiple locations
- Collect, enter, and maintain accurate HSE data within KPA, databases, and spreadsheets
- Prepare and support reporting of HSE metrics, including incidents, audits, observations, and training records
- Support compliance with federal, state, and local HSE and DOT regulations, including audit preparation and documentation
- Coordinate and support employee training programs, including LMS and third-party training providers
- Assist with development and distribution of safety communications and materials
- Provide coordination and administrative support for field HSE activities, including travel to project sites as needed
- Perform additional administrative and HSE-related duties as assigned
Health, Safety, and Environmental Responsibilities:
- All employees are responsible for supporting Audubon Companies’ Health, Safety, and Environmental (HSE) policies and procedures. This includes:
- Performing duties in a manner that protects personal and team health and safety
- Participating in required HSE training, meetings, and reporting activities
- Identifying and reporting hazards, near misses, and unsafe conditions
- Following safe work practices and complying with applicable regulatory requirements
EXPERIENCE AND SKILL REQUIREMENTS
- High School Diploma or GED
- Minimum of three (3) years of experience in an administrative, HSE, or compliance support role
- Experience with safety management systems (e.g., KPA) or similar platforms preferred
- Requires 2 + years of compliance management, preferred corporate drug and alcohol program management experience
- Working knowledge of DOT regulations, drug and alcohol testing requirements, and general HSE compliance standards preferred
- Ability to maintain confidentiality in all work performed
- Strong organizational skills with the ability to manage multiple priorities and deadlines
- Proficient in the use of Microsoft Word, Excel, PowerPoint and Outlook
- Excellent verbal and oral communication skills
- Strong attention to detail with the ability to multitask
- This position requires the ability to work in the corporate office. Must be self- motivated and take initiative
