Job Description

The HRIS Specialist is part of the Human Resources department and manages systems aspects of the human resources functions. This position is responsible for processing employee records in Workday and will comply with all legal requirements related to hiring, terminations and departmental procedures including handling confidential personnel records. As an integral part of the Human Resources department, this role will provide HRIS support, assist with generating headcount reports, and liaise with the wider international HR teams in global locations on day-to-day basis.

Responsibilities

• Assist with pre-onboarding, onboarding functions for all new hires, ensuring smooth transitions and accurate HRIS data entry.

• Supporting and managing the Help workspace with queries, being the first point of contact.

• Process mass employee transactions, including inputting or updating changes, and maintaining accurate data in the HRIS system.

• Investigate and resolve any data integrity issues within HRIS systems.

• Perform ad-hoc reporting as required and provide customized reports to various departments as needed and automating frequent report requests.

• Design and distribute monthly, quarterly, year-end, and ad-hoc HRIS reports to support business operations.

• Develop and execute audit queries to ensure HRIS data integrity, and recommend corrective actions as necessary.

• Proactively formulate ideas and recommendations for system improvements and optimization, contributing to system upgrades and process efficiencies.

• Supporting across all modules on across the system.

• Supporting with updates to business process and responsible to test the functionality.

• Identify, troubleshoot, and resolve HRIS-related system issues and provide technical support for system users.

• Provide training and support to users across departments, ensuring consistent understanding and utilization of system features.

• Creating training material and conducting in-house refresher programs.

• Staying current with HRIS trends, updates, and best practices, providing recommendations for leveraging new functionalities.

• Assist with data migration, system testing, and other project tasks related to HRIS platform updates or transitions.

Perform other special projects or duties as assigned by management.

Requirements

REQUIRED SKILLS, EXPERIENCE AND QUALIFICATIONS:

• 3-5 years experience in HRIS

• Knowledge of Report writing tools

• Minimum Bachelor’s degree or its equivalent

• Proficient in Excel

• Attention to detail, problem-solving competencies are vital

• Excellent written and verbal communication skills

• Working knowledge with HRIS e.g. ADP, Paybooks or Workday

• Problem solving and analytical skills

• Ability to handle sensitive information in a confidential manner

• Ability to work effectively across organizational boundaries
