Job Description

Purpose and Scope of the Job

The post holder is responsible for providing full spectrum of day-to-day HR and Admin supports and services in office. Assist in delivering various HR & Admin solutions to shape up of HR programs and policies with the added ability to think strategically.

Essentially, responsible for the administration and delivery of all HR and admin activities under the guidance of the HR&Admin Manager / Assistant HR&Admin Manager.

The post holder is responsible for HR and Admin duties, Team Leadership, communication, budget control. Maintain HR Programs and services standards, guidelines, policies and procedures.

Job responsibilities

Conceptual tasks, Strategy development and/or Project management

Act as project leader in office moving and renovation project; Lead the environmental management activities of the local office. Develop actionable plans and processes to engage staff satisfaction and submit reports.

Participate in the annual HR & Admin budget and manpower budget for the entire force; Ability to understand all GP global positions and policies.

Employment cost control, generate the recruitment budget & expense report when required;

Implementation

Responsible for the recruitment of front line operations including advertising/sourcing, screening, maintaining manpower requisition form, tracking interview process, extending offers to selected candidates, preparing employment documents and applying work permit (if any), monitoring the performance of recruitment agencies, internship coordination, etc.

Organize employee relations activities to facilitate and promote interdepartmental communications;

Solve people issues collaboratively with other departments and encourage a partnership working environment with their department heads;

Expatriate management including immigration matters, income tax clearance, work visa application, local identity card and insurance matters, etc.

Monitor and deliver the administration work in local office. Provide office management guideline and ensure implementation in the Greennet.

Approve expenditures within the limit of authorization stated in the policy

Provide advice and support for staff development program.

Support/ Coaching/ Leadership

Assist in organizing staff induction program and global setsail program;

Exercise direct staff supervisory responsibility, if exist. Provide inspiration and motivation to team member;

Initiate, plan and implement the work of the team members in consultation with the Human Resources & Administration Manager;

Monitor and record the performance of team members and provide objective and constructive feedback. Conduct annual appraisals;

Ensure the work of the team is effectively and appropriately communicated to the staff;

Manage timely 2-way communication between management and employees;

Promote & explain from time to time of HR policies and benefits to employees;

Provide support for the Executive Director and Deputy/Organizational Support Director upon request;

Undertake any other duties, appropriate to the post, as delegated by the Human Resources & Administration Manager, and Deputy/Organizational Support Director or Executive Director;

Perform ad hoc projects when required;

Compliance/ Keeping Framework Conditions

Assist Human Resources and Administration Manager in formulating, implementing and reviewing policies for local office and the specific regions.

Maintain an accurate and updated HR database and summit the related report and analysis on request. Maintain an effective HR record and filing system;

Provide data for HR&Admin operation, contribute to the analysis, projection and reporting of the operation.
