As a HR & Workspace Specialist, you are the operational heartbeat of the KL office. You are a tech-savvy problem solver who ensures our People processes run smoothly, our office technology works seamlessly, and our employees have a great experience from Day 1. You view "Admin" not as paperwork, but as User Experience.
You don’t need to know everything about our industry (even we don’t!). But the work is challenging, fast paced, and always on the bleeding edge. So, we’re looking for someone with a curious mind, a strong drive to make things happen, and a passion to keep improving yourself.
How you will need to be:

  • HR Operations (The Engine): Manage end-to-end Employment Pass (EP) applications/renewals, digital stamping via LHDN, and HRDF/HRD Corp claims to maximize training budgets.

  • Onboarding "Wow" Experience: Own the "Day 1" impression by preparing fully configured Welcome Kits (Laptop, Access cards, Swag) and managing the offboarding checklist for asset protection.

  • IT Support & Empowerment: Act as the first line of support for office IT (MacBooks, Zoom Rooms, Printers) and build a "Self-Service Knowledge Base" of clear guides for the team.

  • Device Command Center: Manage the HQ asset inventory and assign devices via MDM tools.

  • Pantry & Vibe Curator: Creatively manage the pantry budget by rotating snack menus and sourcing new vendors to keep the team caffeinated and happy.

  • Office Automation: Own the transition to a "Self-Service Office," including the Digital Visitor Management System and smart vendor arrangements for supplies.

  • Vendor & Office Management: Manage courier services, utilities, office maintenance, and hotel bookings while seeking the most efficient deals.

  • HR Projects: Support special projects such as Career Fairs, Walk-in Interview days, or company party brainstorming.

What you need to have:

  • Open to Fresh Graduates or Experience: Whether you have experience or are a fresh graduate, we care about your Mindset. We want someone hungry to prove themselves.
  • Allergic to Inefficiency: You hate wasting time. If you find yourself doing a task manually three times, you stop and ask: "How can I automate this?" or "Can I write a guide for this?"
  • Tech-Curious: You might not be a coder, but you love tech. You aren't afraid to troubleshoot a MacBook, figure out a new software platform (Lark, MDM), or set up a Zoom room. You are the person your friends call when their wifi breaks.
  • Resourceful & Creative: You look at a fixed pantry budget and see possibilities. You are open to trying new things-maybe a new ice cream brand, a new way to organize the store room, or a new layout for the pantry. You don't say "No time," you say "Let's try a different way."
  • Thrives in Ambiguity: You are comfortable in a fast-paced environment where the role evolves. One month you might be managing visas, the next you might be redesigning the reception flow.
  • Good Communication: You have a good command of written and spoken English. (We utilize AI tools to assist with drafting, so we value clear logic over perfect grammar).
  • Mobility: Willingness to go beyond which includes travel to Government agencies or any location when required to ensure completion of your task.
  • Hungry to Learn: You view every task-whether it's fixing the wifi or applying for a visa-as a chance to learn how the business works.
