Job Description

The Training & Compliance Coordinator will assist with internal and external customers in a friendly and professional manner. The main goal is to serve as a member of the HR Coordinator team and provide administrative support to Vice President of Human Resources & Training and Human Resources Manager while assisting with all training and staff development functions.This position is also responsible for coordinating and maintaining all food and alcohol-related training requirements, tracking certifications and documentation, managing compliance records, and ensuring adherence to all applicable state regulations and licensing requirements.

Essential Duties and Responsibilities:

In addition to the following duties and responsibilities, other duties may be assigned.

  • Update and maintain records to ensure compliance with state and local Responsible Vendor and Food Handler Regulations. Follow up with Department Managers to ensure compliance.
  • Manage Catering requests for training classes and track generated Banquet Event Orders
  • Coordinate registration for training classes, monitor attendance, manage cancellations, and maintain accurate participant records.
  • Coordinate training schedule and travel arrangements for outside presenters and facilitators.
  • Ensure each training is setup properly prior to start and provide support throughout training as needed.
  • Administer the Enterprise Commuter Vanpool Program by maintaining participant records, processing billing, managing signed agreements, and serving as the primary liaison with Enterprise for maintenance or service-related matters.
  • Gather training content and materials for The Reef Review Associate Newsletter, ensuring training updates, resources, and learning opportunities are communicated effectively to Associates.
  • Process, maintain, archive all Training/Conference and Tuition Reimbursement forms.
  • Assist with logistics of New Hire Orientation to include scheduling and hosting.
  • Schedule and coordinate internal meetings.
  • Research industry trends, learning and development best practices, and recommend improvements to training initiatives.
  • Answer incoming calls, relay messages, and provide administrative support to the HR team.
  • File & shred documents as needed.
  • Compile monthly training tracking, safety training tracking and any other needed reports.
  • Assist in the communicating between the STC Department & all other ORC Departments.
  • Create training flyers, training collages and maintain Associate Communication Boards on property.
  • Order all training materials and supplies with appropriate approval.
  • With other members of the HR team, contribute to Club and Associate communication efforts including, maintaining bulletin boards, attending line-ups and meetings, updating social media as appropriate and other communications responsibilities.

Specific Job Knowledge, Skill and Ability

  • Some knowledge of stand-up training techniques, developing curriculum and adult learning principles.
  • Ability to work under pressure and speak in front of a group
  • Must be able to multi-task and ability to work independently
  • Ability to effectively deal with Associates and applicants, some of whom require a high level of patience, tact and diplomacy.
  • Ability to defuse anger.
  • Collect accurate information.
  • Excellent communication and interpersonal skills.
  • Type at least 45 wpm plus comprehensive knowledge of MS Office Suite
  • High degree of confidentiality.
  • Flexible hours when requested.
  • Conduct/facilitate UORC Trainings as appropriate.
  • Provide support and coverage for HR Front Office as needed.

Education and/or Experience

Any combination of education and experience equivalent to graduation from High School or any combination of education, training or experience that proves the required knowledge, skills and abilities. College degree preferred. Previous Training and Hospitality experience preferred.

Language Skills

Excellent command of the English language. Must be able to comprehend the English language in order to effectively communicate with co-workers and fully understand job assignments.

Due to the cyclical nature of the hospitality industry and report deadlines, associate may be required to work varying schedules to meet the business needs of the Club and report deadlines.

Proper grooming is required by all associates and is described in detail in the Associates Handbook. Associates should review this policy and make sure that at all times they present themselves for shifts looking clean, neat and professional.

As a condition of employment, all associates agree to fully comply with Ocean Reef Club rules and regulations for the safe and efficient operation of Club facilities. Associates who violate Club rules and regulations will be subject to disciplinary action, up to and including termination of employment.
