The Opportunity

Join Hitachi Energy's Employee Lifecycle Services team and play a critical role in creating a seamless and engaging onboarding experience for new hires across our global organization. As an HR Specialist - Onboarding, you will be responsible for managing and coordinating all onboarding activities, ensuring that new employees are successfully integrated into the organization while maintaining accuracy, compliance, and service excellence.

In this role, you will serve as a key point of contact for candidates, employees, hiring managers, HR partners, and various support functions throughout the onboarding journey. You will coordinate pre-joining activities, prepare employment documentation, manage onboarding transactions within HR systems, and ensure all required approvals and compliance checks are completed accurately and on time.

You will work within a dynamic global HR shared services environment where delivering an exceptional employee experience is essential. Your ability to manage multiple priorities, maintain high data quality standards, and collaborate with stakeholders across different geographies will directly contribute to employee satisfaction and operational excellence.

How You'll Make an Impact

  • Manage end-to-end onboarding activities for new hires, ensuring a smooth and positive employee experience from offer acceptance through joining.
  • Prepare and issue employment documentation, including offer letters and onboarding communications, in line with company policies and local requirements.
  • Track pre-employment requirements, including background verification, documentation collection, and onboarding compliance activities.
  • Maintain accurate employee data in Workday and other HR systems, ensuring data integrity and successful downstream processing.
  • Partner with hiring managers, HR Business Partners, recruiters, payroll, and other stakeholders to coordinate onboarding activities and resolve issues proactively.
  • Ensure timely completion of onboarding transactions while meeting defined SLAs, quality standards, and customer satisfaction targets.
  • Support new hires by responding to onboarding-related queries through designated service channels and ticketing tools.
  • Generate onboarding and data-quality reports, analyze trends, and support continuous process improvement initiatives.
  • Ensure adherence to established SOPs, work instructions, compliance requirements, and internal controls.
  • Identify operational challenges, conduct root cause analysis, and recommend solutions to improve onboarding efficiency and employee experience.

Your Background

  • Bachelor's degree in Human Resources, Business Administration, or a related field; MBA is preferred.
  • 1 to 3 years of experience in HR Operations, Onboarding, HR Shared Services, or Employee Lifecycle Management.
  • Experience working with HRIS platforms such as Workday, SAP SuccessFactors, Oracle HCM, or similar systems.
  • Strong understanding of onboarding processes, employee documentation, and HR data management.
  • Excellent communication and stakeholder management skills with a customer-focused mindset.
  • Strong attention to detail with the ability to manage multiple priorities in a fast-paced environment.
  • Proficiency in Microsoft Office applications, particularly Excel and reporting tools.
  • Flexibility to work in a night-shift environment supporting global operations.
