Job Description

Job Purpose:

The HR Specialist is responsible for delivering end-to-end HR operations, including payroll, HRIS management, compliance, and employee services. This role also leverages AI-enabled solutions and digital tools to enhance HR efficiency, data insights, and employee experience.

Responsibilities:

1. Payroll & Compliance

  • Process end-to-end payroll, ensuring accuracy, timeliness, and compliance with statutory and company requirements.
  • Prepare regular payroll reports (monthly, quarterly, annual), including tax filings and statutory contributions.
  • Support payroll data consolidation, bonus processing, and statutory payments.
  • Assist in payroll reconciliation, audits, and month-end closing activities (e.g. accruals, GL support).
  • Act as a key user for payroll systems and HRIS, supporting issue resolution and process improvements.
  • Utilize system tools and basic AI-enabled checks to improve payroll accuracy and efficiency.

2. HR Operations & HRIS Management

  • Maintain accurate employee records in Workday across the employee lifecycle (hire, transfer, promotion, termination).
  • Ensure data integrity, confidentiality, and compliance as custodian of HR data.
  • Prepare HR reports and dashboards to support business and HR decision-making.
  • Support HR audits and compliance checks in line with policies and regulatory requirements.
  • Contribute to continuous improvement of HRIS processes and data quality.
  • Apply digital tools (including AI where applicable) to support reporting and workflow efficiency.

3. Compensation, Incentives & Reporting

  • Support compensation data analysis and reporting.
  • Administer sales incentive plans, ensuring accurate data and timely payout tracking.
  • Coordinate with Finance on payroll-related invoicing and reconciliations.
  • Assist in identifying data trends and inconsistencies to improve reporting quality.

4. Benefits Administration & Employee Services

  • Administer employee benefits programs (medical, insurance, leave, attendance) in accordance with policy and compliance requirements.
  • Act as point of contact for employee queries on HR policies and benefits.
  • Manage benefits enrolment and changes and liaise with vendors to ensure timely updates.

5. Policy, Governance & Employee Engagement

  • Support updates to HR policies, SOPs, and employee handbook in line with regulatory and business changes.
  • Stay updated on local labour laws and statutory requirements.
  • Assist in employee communications, briefings, and wellness initiatives.
  • Work with HRBPs on benefits administration and employee programs.

6. General HR & Projects

  • Support HR projects and process improvement initiatives, including system enhancements and automation.
  • Participate in HR team activities and cross-functional collaboration.
  • Provide operational support and backup within the HR team.
  • Contribute to adoption of digital tools and process improvements in HR operations.

Knowledge, Skills and Experience:

  • Degree in Human Resources, Business Administration, or related field
  • 3–5 years of experience in HR operations / payroll / HRIS
  • Experience supporting system or process improvements projects is an advantage
  • High level of data accuracy, analytical skills, and attention to detail
  • Strong stakeholder management and communication skills
  • High level of integrity and confidentiality
  • Proactive, detail-oriented, and continuous growing mindset
  • Good understanding of local employment legislation
