OrthoCarolina is seeking an HR Programs and Engagement Assistant to join our Human Resources team. This is a hybrid role based out of our Park Road office.

The HR Programs and Engagement Assistant provides administrative and operational support for employee engagement, learning, recognition, and HR programs initiatives across the organization. This role plays a key part in creating positive team member experiences by coordinating events, supporting recognition programs, maintaining accurate program data and reporting, and assisting with communications that highlight and celebrate OrthoCarolina’s culture. The ideal candidate is highly organized, detail-oriented, collaborative, and passionate about supporting employee engagement and organizational excellence.

Essential Functions:

Employee Engagement & Programs Support

  • Assist in the planning, coordination, and execution of employee engagement initiatives, campaigns, and events.
  • Coordinate event logistics, including scheduling, materials preparation, communications, vendor coordination, and attendance tracking.
  • Provide administrative support for the Employee Council, including roster management, room reservations, and Teams channel maintenance.
  • Support engagement initiatives such as New Hire Reunions, Quarterly Connections, Quarterly Spotlights, and All-Star recognition programs.
  • Provide both on-site and virtual event support, including meeting facilitation assistance, event setup, attendance tracking, and post-event follow-up.
  • Partner with executive administrative support and internal stakeholders to coordinate schedules and activities related to employee engagement programs.
  • Assist with virtual meeting setup, including Microsoft Teams configurations, recordings, access settings, and technical support.
  • Gather employee stories, photos, and testimonials to promote organizational culture, engagement, and recognition efforts.
  • Maintain inventory of employee swag, promotional items, and recognition materials, while coordinating distribution for employee programs and milestones.

Recognition & Culture Programs

  • Support recognition initiatives including Welcome campaigns, Way to Go! programs, Years of Service celebrations, and Annual Team Appreciation Gift administration.
  • Coordinate the preparation, distribution, and tracking of recognition materials, awards, certificates, and communications.
  • Monitor employee milestones such as anniversaries, promotions, and achievements through recognition platforms and internal systems.
  • Assist with employee appreciation efforts, including Top Learner recognition and one-year anniversary gift programs.
  • Draft and format employee engagement communications, recognition spotlights, announcements, and internal posts.

Reporting & Administrative Support

  • Generate, maintain, and distribute HR and engagement-related reports, including new hires, promotions, rehires, engagement participation metrics, onboarding statistics, learning activity, survey data, and exit interview trends.
  • Extract, organize, and analyze data from systems such as Workday, learning management systems, engagement platforms, and recognition tools.
  • Maintain data accuracy, consistency, and confidentiality across reports and employee information systems.
  • Assist with tracking program participation, engagement outcomes, and recognition program effectiveness.

  • Proficiency in Microsoft Office applications, including Excel, Outlook, Teams, and SharePoint.

Qualifications:

  • Associate’s or Bachelor’s degree in Human Resources, Business Administration or a related field preferred.
  • One (1) to three (3) years of experience in Human Resources, employee engagement, event coordination, administrative support, or a related field required.
  • Experience using Human Resource Information Systems (HRIS) and engagement or recognition platforms such as Workday, Peakon, People Are Everything, or similar systems preferred.
  • Experience working with data collection, reporting, analytics, or tracking tools.
  • Knowledge of employee engagement, recognition, and organizational culture initiatives preferred.
  • Demonstrated proficiency with Microsoft Office Suite and collaboration platforms.
