Job Description

This role is responsible for full-cycle payroll processing, ensuring accuracy, legal compliance, and timely execution of all payroll-related activities. The position maintains high-quality HRIS data, supports benefits administration, and collaborates closely with HR, Finance, and external payroll providers. A strong focus is placed on operational excellence, data integrity, and continuous improvement.

RESPONSIBILITIES

  • Maintain and update employee records in the HRIS system (focus on HRNET), ensuring data accuracy
  • Respond to employee inquiries related to payroll, compensation, and benefits calculations.
  • Ensure compliance with labor laws, GDPR, and internal policies across all HR practices.
  • Champion a culture of continuous improvement by identifying inefficiencies and proposing solutions.
  • Full-Cycle Payroll - Manage end-to-end payroll processing, ensuring accuracy, timeliness, and compliance with legal and internal standards.
  • Payroll Data Maintenance: Maintain and regularly update payroll records, including salaries, bonuses, deductions, and tax withholdings.
  • Reconciliation & Issue Resolution: Reconcile payroll data, investigate discrepancies, and collaborate with Finance and HR to ensure accuracy.
  • Time & Attendance Management: Monitor employee attendance, working hours, and overtime using time-tracking systems to ensure accurate payroll inputs.
  • Sick Leave & Absence Tracking: Track and manage sick leave, vacation, and other absences, ensuring proper documentation and payroll impact.
  • Maintain payroll-related reports
  • Employee Lifecycle Updates: Ensure timely payroll updates for promotions, terminations, and new hires.
  • Audits & Off-Cycle Payments: Conduct payroll audits and process off-cycle payments such as final settlements and bonuses.
  • Vendor Coordination: Liaise with external payroll providers to ensure accurate and timely payroll delivery.
  • Year-End Support: Assist with year-end payroll activities, including reporting and audits.
  • Benefits Administration: Support the administration of employee benefits and respond to related payroll inquiries.
  • Reporting & Compliance: Generate payroll reports for strategic decision-making and stay informed on payroll laws, tax regulations, and best practices
  • Support payroll transformation efforts and process improvement
  • Support with Posted workers

QUALIFICATIONS

  • Bachelor’s or master’s degree
  • Minimum 2–3 years of experience in an HR Payroll activities or coordinator role, preferably in a mid-to-large-sized organization.
  • Strong understanding of HR processes, employment legislation, and data privacy regulations.
  • Proficiency in HRIS systems (e.g., HRNET) and Microsoft Office Suite.
  • Excellent organizational and multitasking skills with a high level of attention to detail.
  • Strong interpersonal and communication skills with customer-first mindset, with the ability to handle sensitive information confidentially.
  • Ability to work independently and collaboratively in a fast-paced environment.
