This role owns recurring processes involving employee records, onboarding, offboarding, benefits, compliance tracking, and HR systems, while providing day-to-day team leadership and mentorship to a junior Recruitment Coordinator.
You’ll work within established procedures, with the Director providing guidance on policy interpretation and leadership decisions. Success means accurate records, timely transactions, organized documentation, dependable follow-through, and effective support for the coordinator’s development.
What You’ll Do
- HR administration: Maintain confidential employee records; process employee changes; prepare routine documents using approved templates; run reports and resolve discrepancies.
- Onboarding and offboarding: Manage Paylocity workflows, paperwork, background screening, employment verification steps, and task completion. Coordinate with recruiting, payroll, IT, security, and program managers.
- Benefits: Process enrollments, life events, and coverage changes; answer routine questions; resolve eligibility issues with brokers and carriers; reconcile invoices and deductions; support open enrollment.
- Leave tracking: Maintain records, monitor documentation and deadlines, and process approved changes. Refer eligibility, accommodation, and policy questions to the Director.
- Systems and payroll coordination: Maintain employee data and support the Unanet–Paylocity payroll integration. Review data, coordinate corrections, troubleshoot routine issues, and communicate approved changes to payroll. This role does not process payroll.
- Compliance support: Track notices, training, acknowledgments, and deadlines; maintain records under established retention procedures; assemble audit and reporting documentation; flag issues for review.
- Employee support: Answer routine procedural and system questions, distribute approved materials, and escalate matters requiring interpretation or decisions.
- Team leadership and mentorship: Guide the Recruitment Coordinator’s daily work, help prioritize assignments, monitor deadlines, and review work for accuracy. Provide training, constructive feedback, and process guidance on recruiting administration, candidate scheduling, documentation, and onboarding handoffs. Keep the Director informed of workload, development needs, and concerns requiring management attention.
