Job Description

HR OPERATIONS SPECIALIST

Position Summary

The Specialist, HR Operations is a key member of the People Operations team, supporting employees across all ServiceTitan geographies. The role is the backbone of a high efficiency, automation forward HR Ops function, owning day to day operational workflows and transactions across the employee lifecycle. We're looking for someone who thinks in systems, is energized by process design, and sees every repetitive task as an opportunity to streamline and improve.

Roles & Responsibilities

  • Handle day to day operational workflows, including requests from shared inboxes, Workday tasks, and Jira service tickets.
  • Maintain data integrity across Workday and all connected HR systems through regular audits and proactive discrepancy resolution.
  • Support PBP and employee inquiries related to the Contingent Workforce (CW) program.
  • Support compliance documentation and employee record management across global jurisdictions.
  • Collaborate with HR Centers of Excellence on program rollouts, process changes, and adoption communications.
  • Support end to end process execution for the Contingent Workforce and PEO program, including vendor coordination.
  • Review and track vendor Master Service Agreements and contract terms (indemnification, non-solicitation, termination notice, rate cards) for staffing and EOR vendors.
  • Coordinate with Legal on vendor and employment classification matters, and with Finance on budget and purchase order changes tied to program work. Automation & Process Improvement
  • Identify high volume, repetitive workflows and flag automation opportunities, partnering with the appropriate teams to design and implement solutions.
  • Partner with PeopleTech and other teams to build and maintain automated workflows in Workday, Jira, and adjacent tools.
  • Document, standardize, and continuously improve HR Ops processes across all geographies.
  • Develop and maintain self service resources and knowledge base content so employees and PBPs can resolve common questions independently.
  • Track and report on operational efficiency metrics, ticket volume, resolution time, error rates and surface actionable insights.

Qualifications

  • 3–5 years of experience in HR operations, HR administration, or a related people function
  • Comfortable spotting repetitive or inefficient tasks and flagging them to the right team for improvement.
  • Strong proficiency in HRIS systems; Workday experience highly preferred
  • Proficient Excel/Google Sheets skills, including comfort with data validation, formulas, and reporting
  • Exceptional attention to detail and organizational discipline in a fast-paced, high-volume environment
  • Strong communication skills, written and verbal, with the ability to work across time zones and cultures

Nice to Have

  • Experience supporting a globally distributed workforce across multiple time zones
  • Familiarity with labor regulations across multiple jurisdictions
  • Experience using workflow automation tools (e.g., Workday Studio, Zapier, Make, or similar)
  • Exposure to AI-assisted HR tools or process automation projects
  • Experience working with ticketing systems such as Jira or ServiceNow
