The HR Operations Specialist is responsible for the accuracy, integrity, and completeness of employee data and HR operational processes. This role is part of the HR Shared Services team and is responsible for audit and compliance activities, records management, payroll and benefits account reconciliations, and operational support across the HR department. The ideal candidate is highly organized, detail-oriented, and comfortable moving between employee-facing coordination work and back-office financial reconciliation activities. This role requires someone who can manage competing priorities, handle sensitive information with discretion, and maintain accuracy across high-volume transactional work.
This is a hybrid position working 2-3 days in the Brockton, MA office. Travel to Wakefield, MA 2-3 days a month may be required.
Key Responsibilities
Compliance Support: Support the annual compliance course cycle, tracking completion and escalating gaps as needed. Ensure new employees complete required compliance courses and follow up weekly on outstanding assignments. Ensure branch and office locations have current employment law posters, ordering and distributing updates as required. Support the integrity of HR compliance programs through regular auditing and reporting activities.
HR Account Reconciliation: Audit and reconcile benefits-related general ledger accounts on a monthly and quarterly basis. Reconcile payroll funding accounts and identify variances. Partner with benefits and payroll teams to research and resolve discrepancies.
Records and Data Management: Correct employee organizational information in Oracle, including job codes, FLSA classifications, seniority dates, and related data. Respond to requests for employee file documents in a timely manner. Ensure data accuracy and integrity across HR systems.
Reporting: Support the creation, validation, and distribution of weekly and monthly HR reports. Gather, organize, and validate data to ensure reports are accurate and delivered on schedule.
Administrative Support: Maintain and update HR intranet pages in SharePoint. Provide backup support for the HR Operations Coordinator.
