Waystone is seeking an HR Operations Specialist to support key HR functions across the employee lifecycle, including onboarding, HRIS administration, compliance tracking, leave administration, and employee support. This role blends relationship-building with strong administrative and organizational skills and serves as a key operational partner within the HR team.
Working closely with employees, managers, recruiters, payroll, and leadership, the HR Operations Specialist helps ensure HR processes are completed accurately, timely, and consistently while supporting a positive employee experience.

Schedule: Monday - Friday 9:00am - 5:00pm. This position is not remote; it is on-site at our main office. This position is benefit eligible as of date of hire.
Compensation: This is a 40-hour, non-exempt, full-time position. The compensation range is $62,000 - $80,000 annually. This position offers opportunities for professional growth and development within the HR Operations career path.

Key Responsibilities:
HR Operations Support
- Promote positive employee experience by providing responsive, professional, and customer-focused support.
- Monitor and respond to HR mailbox inquiries in a timely and professional manner.
- Triage requests and route inquiries to the appropriate HR team member as needed.
- Assist employees and managers with HR processes, forms, resources, and general inquiries.
Onboarding & Employee Administration
- Coordinate onboarding activities and pre-employment requirements, ensuring employees receive the information, resources, and access needed prior to their start date.
- Monitor onboarding progress, follow up on outstanding requirements, and escalate delays that may impact start dates.
- Process employee changes, transfers, leaves, and terminations in Paycom.
HRIS, Compliance & Leave Administration
- Maintain employee personnel files, HR records, and accurate employee data within Paycom.
- Track required certifications, training requirements, and compliance documentation.
- Support workers' compensation, unemployment, and leave administration activities, including maintaining related documentation and tracking.
- Coordinate leave administration activities with employees, managers, payroll, and HR leadership.
- Escalate complex leave matters as appropriate.
- Assist with maintaining compliance-related records and reporting requirements.
Reporting & Process Improvement
- Maintain HR reports and workforce trackers.
- Identify operational challenges, recommend solutions, and participate in continuous improvement initiatives that enhance efficiency, accuracy, compliance, and employee experience.
Qualifications:
- Bachelor’s degree in Human Resources, Business Administration, or a related field preferred; equivalent experience may also be considered.
- Bilingual proficiency in English and Spanish preferred.
- 3-5 years of Human Resources experience.
- Demonstrated ability to identify issues, recommend solutions, and improve processes.
- Demonstrated proficiency with standard office software, including Microsoft Office Suite (Word, Excel, Outlook), and comfort using general office technology.
- Experience working with HRIS platforms, such as Paycom, with the ability to learn and navigate new systems effectively.
- Strong communication and interpersonal skills, with the ability to build positive working relationships across all levels of the organization.
- Ability to manage multiple tasks, prioritize responsibilities, and remain organized in a fast‑paced environment with frequent interruptions.
- Proven ability to handle confidential and sensitive information with discretion, professionalism, and sound judgment.
- Highly organized, detail‑oriented, and efficient, with strong time‑management skills and the ability to maintain accuracy while managing competing priorities.
