Position Summary:

As an HR Operations Senior Specialist with Italian, you will serve as the key expert for HR administration processes across the Italian employee lifecycle, ensuring compliance with local labor legislation and regulatory requirements. You will partner closely with managers, employees, payroll, legal teams, and public authorities while driving operational excellence, data quality, and continuous process improvement.

Key Responsibilities

Employee Lifecycle Management

  • Own and manage end-to-end HR administration processes across the employee lifecycle, including hiring, organizational changes, leaves of absence, employee mobility, and terminations, ensuring compliance with applicable labor legislation, collective agreements, and internal policies.
  • Act as the subject matter expert for HR Operations processes, providing guidance and support to managers, employees, HR teams, and business stakeholders.
  • Ensure the accuracy, completeness, and integrity of employee data within Workday and other HR systems.
  • Identify process risks and implement corrective actions to ensure compliance, efficiency, and service excellence.
  • Drive continuous process improvement initiatives and support HR digitalization and automation projects.

Administration, Compliance & Regulatory Affairs Support

  • Coordinate and oversee statutory employment-related communications and declarations with public authorities, including INPS, INAIL, Ministry of Labour, and other regulatory bodies.
  • Support regulatory inspections, internal audits, external audits, and compliance certifications, ensuring timely and accurate documentation.
  • Serve as a key liaison between HR, Legal, Payroll, external providers, and regulatory institutions.
  • Monitor legislative and regulatory developments, assessing their impact on HR Operations processes and recommending appropriate actions.
  • Coordinate the completion of national surveys and statutory reporting requirements.

HR Systems & Knowledge Management

  • Act as local key user for Workday and HR Operations tools, supporting process execution, data quality, testing activities, and user adoption.
  • Maintain and continuously improve local HR Operations documentation, SOPs, work instructions, knowledge articles, and employee-facing content.
  • Support system implementations, enhancements, and transformation initiatives impacting HR Operations.

Service Excellence & Operational Governance

  • Monitor HR Operations service performance through KPIs, SLAs, ticket management systems, and quality indicators.
  • Proactively manage escalations and complex cases, ensuring timely resolution and stakeholder satisfaction.
  • Produce operational analyses and reports to support decision-making and identify opportunities for efficiency and service improvement.
  • Contribute to the development of best practices and standardization initiatives across HR Operations.

Our requirements:

  • Fluency in Italian (C1 level minimum), both written and spoken; native-level proficiency highly preferred.
  • Professional working proficiency in English.
  • Minimum 4 years of experience in HR Operations, HR Administration, or Personnel Administration supporting the Italian market.
  • Strong knowledge of Italian labor law, employment regulations, and employee administration processes.
  • Hands-on experience managing the full employee lifecycle.
  • Experience working with Italian public authorities and regulatory institutions, including: INPS, INAIL, Ministry of Labour.
  • Ability to independently execute mandatory statutory communications and employment-related declarations in compliance with Italian legislation.
  • Strong stakeholder management and communication skills.
  • High attention to detail and commitment to data accuracy and compliance.
  • Ability to manage multiple priorities in a dynamic, high-volume environment.

Nice to have:

  • Experience working with Workday.
  • Experience within a SSC/BPO environment.
  • Knowledge of ticketing systems.
  • Exposure to HR process improvement, automation, or digital transformation initiatives.
  • University degree in Human Resources, Business Administration, Law, or a related field.
