About the role

We are looking for someone who is reliable, organised, hands-on and who can take ownership of HR operational activities independently with minimal supervision.

The ideal candidate will have a strong understanding of Philippine HR administration and has experience in managing payroll , statutory requirements and employee documentation while providing responsive HR support to employees.

Responsibilities

Payroll Administration

  • Support the preparation and processing of monthly/semi-monthly payroll, including payroll inputs, adjustments, deductions and employee changes.
  • Review payroll information for completeness and accuracy prior to submission or processing.
  • Coordinate with the payroll provider, where applicable, to resolve payroll queries or discrepancies.
  • Support statutory contributions, reporting and employee updates relating to SSS, PhilHealth, Pag-IBIG and BIR.
  • Maintain accurate payroll and statutory records and ensure submissions are completed within required timelines.
  • Assist employees with payroll, statutory contribution and benefits queries.

HR Documentation & Employee Records

  • Prepare employment contracts, contract amendments, Certificates of Employment (COE), confirmation letters and other employment-related correspondence.
  • Maintain accurate and up-to-date employee personnel records and HR documentation.
  • Process employee changes including new hires, transfers, salary adjustments, promotions and terminations.
  • Ensure employee documents are properly maintained and handled in accordance with company requirements and applicable data privacy standards.

Employee Lifecycle Administration

  • Support employee onboarding and offboarding processes.
  • Coordinate collection and preparation of pre-employment and employment documentation.
  • Support final pay and clearance administration for departing employees.
  • Assist with leave, benefits and other employee administration.

General HR Operations

  • Provide day-to-day administrative support to the HR function.
  • Maintain HR trackers, employee databases and HR systems.
  • Prepare regular HR reports and employee information as required.
  • Support HR compliance activities and ensure documentation is maintained appropriately.
  • Liaise with external payroll providers, government agencies and other HR service providers when required.
  • Support ad-hoc HR projects and administrative activities.

Requirements

  • Diploma or Bachelor's Degree in Human Resources, Business Administration or a related discipline.
  • Approximately 3–5 years of hands-on HR Operations/HR Generalist experience, preferably within the Philippines.
  • Experience in Philippines payroll processing.
  • Good knowledge of SSS, PhilHealth, Pag-IBIG and BIR requirements.
  • Experience preparing employment contracts, COEs and other employee documentation.
  • Good understanding of Philippine HR administration and basic employment compliance requirements.
  • Strong attention to detail, particularly when handling payroll and employee information.
  • Good organisational and time-management skills with the ability to work independently.
  • Good written and verbal communication skills.
  • Proficient in Microsoft Excel, Word and other standard office applications.
  • Experience working with payroll vendors or HRIS systems would be an advantage
