Job Description

General Summary

Responsible for administration of operational programs and procedures within the Human Resources department. Applies best practices to ensure standardized, streamlined and efficient processing of day-to-day transactional HR duties. Maintains a continuous process improvement approach, identifying opportunities for improvement and participating in developing and operationalizing solutions in accordance with the organization's mission, vision and values.

Duties and Responsibilities

Essential Functions:

  • Serves as a subject matter expert in operational HR workflows as assigned.
  • Creates and maintains standard operating procedure documentation for assigned workflows. Shares information related to areas of expertise with other team members.
  • Ensures timely and accurate processing of transactional duties within the HR system. Performs tasks, approvals and executes processes per standard operating procedures. Ensures appropriate workflows occur based upon bargaining unit and non-bargaining unit processes.
  • Maintains data integrity within the HR system, utilizing over-checks, validation and auditing as required.
  • Receives escalated inquiries from the service center; provides prompt and excellent customer service by giving quick, thorough and accurate information.
  • Maintains HR and personnel records in an organized, consistent manner. Involved in ensuring documentation is readily available for regulatory surveys and auditors.
  • Actively collaborates with Human Resources and organizational team members to improve processes to meet strategic initiatives, while ensuring compliance with applicable laws and regulations. Incorporates concepts of LEAN to drive efficiencies.
  • Collaborates and provides guidance related to operationalizing new programs and procedures.
  • Participates in testing new or changed functionality within test environment when appropriate.
  • Where necessary, utilizes external systems / vendors to accomplish tasks, including but not limited to responding to unemployment compensation claims, verifying licensure / certification, coordinating background check renewals, etc.
  • Supports department projects and participate in work teams as assigned. Actively participates in departmental meetings and discussions.
  • Completes assigned tasks independently. Exercises sound judgement and utilizes critical thinking skills when problem-solving.
  • Completes all assigned education in a timely manner.
  • Escalates routine issues and questions to the Senior Human Resources Operations Specialist. Assists in troubleshooting to resolve issues.

  • Maintains established policies and procedures, objectives, quality assessment and safety standards.
  • Participates in educational programs and inservice meetings.
  • Assist in the training of new staff.
  • Provides outstanding service to all customers; fosters teamwork; and practices fiscal responsibility through improvement and innovation.
  • Demonstrates the ability to be agile in response to new and changing procedures.

Qualifications

Minimum Education:

  • High School Diploma or GED Required

Work Experience:

  • 2 years Relevant experience. Required

Knowledge, Skills, and Abilities:

  • Excellent interpersonal/communication skills.
  • Proficient computer skills with ability to learn new computer applications.
  • Knowledge of Lawson, Oracle or other HRIS and Kronos Timekeeping or similar systems/applications.
  • Microsoft Office.
  • Attention to detail.
  • Critical thinking skills.
  • Ability to work both independently and in a team environment.
