The Opportunity
The HR Operations Coordinator is responsible for managing financial transactions and controls related to recruitment, employee expenses, and HR operational purchasing. This role ensures accurate processing of invoices, reimbursements, and expense reports while maintaining visibility into recruitment-related spend and supporting leadership with travel and expense coordination.
Key Responsibilities
Recruitment & Candidate Financial Support
Coordinate candidate travel arrangements and flight bookings
Process candidate reimbursements and travel-related expense reports
Track and monitor candidate-related spending
Reconcile and process supplier invoices and expense reports tied to recruitment activities
Leadership Travel & Expense Support
Assist with leadership travel bookings
Process leadership expense reports
Reconcile leadership expenses in compliance with organizational policies
Tuition & Education-Related Reimbursements
Process tuition waiver and exchange requests
Review and process graduate reimbursement submissions
Track education-related reimbursements and ensure accurate documentation
Support Controller with assessing tax implications of tuition-related waivers and reimbursements in alignment with policy
Reporting, Tracking & Continuous Improvement
Maintain tracking logs and spend summaries for HR operational expenses
Identify discrepancies, trends, and opportunities in recruitment and HR spending
Support audit preparation and provide required documentation
Assist in updating and improving process documentation and workflows

Required:
Bachelor’s degree in Human Resources, Business Administration, Accounting, Finance, or related field; or equivalent combination of education and experience
2–4 years of experience in HR operations, payroll, accounting, finance, travel coordination, or administrative support in a professional environment
Experience processing invoices, reimbursements, expense reports, or financial transactions
Strong attention to detail with proven ability to manage high-volume transactional work accurately
Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and ability to work with HRIS/ERP systems (e.g., Workday or similar)
Strong organizational and time management skills with the ability to prioritize competing deadlines
Excellent written and verbal communication skills
Preferred:
Experience in higher education or large, matrixed organization
Familiarity with travel and expense systems (e.g., Concur or equivalent)
Basic understanding of payroll taxation or tuition-related benefits administration
Experience supporting audits, compliance reviews, or financial reconciliation processes
Strong analytical skills with the ability to identify discrepancies and trends in data
Competencies:
High level of integrity and discretion when handling financial and employee data
Customer service mindset with the ability to support employees and leadership professionally
Problem-solving skills with a process improvement mindset
Ability to work independently while collaborating across HR, Finance, and leadership teams
