Overview Of The Role:

The HR Executive role is designed to support the HRBP and store management with various HR and administrative tasks. The role is vital to ensure a smooth onboarding process, maintain clear communication and updated records, and assist with the implementation of HR policies and procedures. The role contributes to efficient payroll management, oversight of staff schedules, and promotes employee engagement and development initiatives. Additionally, the HR Executive plays a key role in supporting audits, coordinating logistics for employees, and liaising effectively with the HRSS team, ensuring continuity and integration across the business unit.

What You Will Do:

Onboarding

  • Meet & greet new joiners on their first day and ensure they receive their Hej induction pack and all necessary administration materials, such as badges, uniforms, locker keys, access cards, and fingerprint registration.
  • Work closely with the HRSS team to ensure new joiners' user and email accounts are created and shared with their line managers.

Policy and Communication

  • Communicate store policies, procedures, and internal announcements as directed by the HRBP.
  • Assist store line managers in understanding and implementing policies and procedures.
  • Respond to employee queries on various HR matters with support from the HRBP.

HR Administration

  • Collect company property such as keys, uniforms, and cards from leavers.
  • Maintain attendance records, overtime, turnover percentages, sick leaves, nationality mix, recruitment tracker, Emirati turnover, and holiday records.
  • Ensure correct and accurate staff schedules in liaison with the Staff Planning Specialist.
  • Provide HR and admin support to store management, including documentation and approval processes.
  • Archive in-store office documents for easy retrieval.

Reporting and Analysis

  • Consolidate monthly payroll and leave reports by reviewing Store exceptions daily.
  • Produce KPI reports to aid in business decision-making and control.
  • Prepare PowerPoint presentations for general meetings and other requirements.

Engagement and Development

  • Organize employee engagement activities, social events, conduct focus groups, and gather feedback to boost morale and retention.
  • Support the execution and implementation of the I-Conduct plan.
  • Collaborate on HR projects and cross-functional initiatives to build a high-performing organization aligned with business strategy.

Support and Compliance

  • Assist in preparing for audits and provide supporting evidence as needed.
  • Negotiate with vendors and obtain quotations for office supplies.
  • Coordinate travel and hotel arrangements for employees requiring emergency leave.

Required Skills To Be Successful:

  • Strong communication and interpersonal abilities.
  • Proficiency in using MS Office applications.
  • Understanding of HR processes and systems, preferably with SAP knowledge.
  • Ability to negotiate and liaise with vendors and internal stakeholders.

What Qualifies You For The Role:

  • Bachelor's degree in business administration or related field.
  • 3 to 4 years of experience in a similar role, especially as an HR Generalist.
  • Excellent communication and interpersonal skills.
  • Proficiency in MS Office and a good command of the English language.
  • Preferred knowledge of SAP and country labor laws.
  • Capable of planning, organizing, and implementing tasks effectively.
