Job Description

We are looking for a proactive and detail-oriented HR Executive to support day-to-day HR operations, employee engagement and internal event management.

The role will support the full employee lifecycle, including onboarding, employee documentation, HR record maintenance, employee queries, transfers, confirmations, contract administration, offboarding and exit processes.

The HR Executive will also assist with employee communications, engagement initiatives, internal events and employee welfare activities.

This position will initially be offered on a six-month fixed-term contract. The contract may be extended based on individual performance and business requirements. Permanent employment may be considered in the future, but neither an extension nor permanent conversion is guaranteed.

Key Responsibilities

HR Operations

  • Support end-to-end employee lifecycle activities, including:
    • Onboarding
    • Employee documentation
    • Employee record maintenance
    • Transfers
    • Employment confirmations
    • Contract extensions
    • Employee exits
    • Employee data updates
  • Coordinate onboarding formalities, including:
    • Joining documentation
    • Induction and orientation sessions
    • ID card and access creation
    • Post-joining documentation
    • Company policy briefings
  • Maintain accurate employee records and HR documentation, including:
    • Physical and digital employee files
    • HRMS and ERP updates
    • Attendance records
    • Resignation trackers
    • Employee data trackers
    • HR reports
  • Support offboarding activities, including:
    • Exit interviews
    • Resignation documentation
    • Exit paperwork
    • Full and final settlement coordination
    • Relieving letters
    • Service letters
  • Respond to employee HR queries and ensure issues are followed through to resolution.
  • Coordinate with internal teams, including:
    • Administration
    • IT
    • Payroll
    • Finance
    • Talent Acquisition
    • Operations
  • Support documentation relating to:
    • Employee warnings
    • Incident reports
    • Policy violations
    • Formal employee communications
  • Ensure compliance with company policies, HR processes, documentation standards and relevant employment requirements.

Employee Engagement and Event Management

  • Support the planning and delivery of employee engagement activities, including:
    • Employee celebrations
    • Rewards and recognition programmes
    • Town halls
    • Festive events
    • Internal engagement initiatives
  • Coordinate with vendors, employees and internal stakeholders to manage event arrangements and logistics.
  • Prepare employee communications, including:
    • Event announcements
    • Posters
    • Invitations
    • Internal notices
  • Track event budgets and support:
    • Purchase requests
    • Payment requests
    • Expense submissions
  • Support employee surveys, feedback collection and follow-up actions.
  • Coordinate employee welfare initiatives, including:
    • Birthday communications
    • Newborn gifts
    • Condolence support
    • Other employee care activities

Required Skills and Competencies

  • Good understanding of HR operations and employee lifecycle processes.
  • Strong verbal and written English communication skills.
  • Good interpersonal and employee-facing skills.
  • Ability to maintain confidentiality and handle employee information sensitively.
  • Strong organisational and coordination skills.
  • High attention to detail.
  • Ability to manage multiple tasks and changing priorities.
  • Strong ownership and follow-up skills.
  • Proficiency in Microsoft Office, particularly Excel, Word and PowerPoint.
  • Basic Excel formula knowledge, including VLOOKUP, is preferred.
  • Ability to work collaboratively with cross-functional teams.
  • Creative mindset and willingness to support employee engagement activities and events.
  • Basic awareness of Indian HR practices and Karnataka employment requirements.
  • Ability to learn and use HRMS and ERP systems.

Qualifications and Experience

  • Bachelor’s degree or MBA in Human Resources or a related field.
  • Approximately six months to one year of relevant experience in:
    • HR operations
    • Employee engagement
    • Employee documentation
    • Event coordination
  • Previous experience using HRMS or ERP tools would be advantageous.
  • Experience supporting onboarding and offboarding processes is preferred.
  • Experience coordinating group onboarding would be beneficial.

Working Arrangements

  • This is an office-based role at the SIDE Bengaluru studio.
  • The business operates 24 hours a day, seven days a week.
  • The role will rotate monthly between day and night shifts.
  • Night-shift hours may be:
    • 8:00pm to 5:00am IST
    • 9:00pm to 6:00am IST
  • Candidates must be comfortable working rotating night shifts.
  • Night-shift allowance will be paid based on the number and timing of night shifts worked.
  • Company transport is available for qualifying night-shift employees within the approved transport radius.
  • Candidates should live within approximately 20 kilometres of the office or be willing to relocate closer before joining.
