About the Role
The HR Data Management Coordinator ensures the accuracy, integrity, security, and compliance of employee data across the full employee lifecycle. This role owns employee data administration, personnel file management, employment documentation, and HR transactions while supporting HR service delivery through the HR Operations case management system.
Working closely with Payroll, Benefits, Talent Acquisition, Learning & Development, Compensation, and HR Business Partners, this role ensures employee records and HR service requests are processed accurately, efficiently, and in compliance with company policies and regulations.
What You’ll Do
Employee Data Management & Transactions
• Maintain accurate and confidential employee data across HR systems
• Process employee transactions including hires, job changes, compensation updates, and terminations
• Validate documentation and ensure compliance with company policies and regulations
• Maintain complete employee records throughout the lifecycle
• Conduct audits to ensure data accuracy and resolve discrepancies
• Partner with HR and business teams to ensure data integrity
Personnel File Administration & Compliance
• Maintain confidential employee personnel files and electronic records
• Ensure proper documentation, retention, and file organization
• Support personnel file requests and audit activities
• Ensure compliance with records retention and employment regulations
• Support employment verifications and documentation reviews
HR Service Delivery & Case Management (UKG People Assist)
• Administer the HR Operations ticketing and case management system
• Triage, assign, and resolve HR service requests within SLA expectations
• Respond to employee and manager inquiries regarding HR data and processes
• Route specialized requests to appropriate HR teams
• Maintain accurate case documentation and resolution notes
Reporting & Documentation
• Track HR service metrics including volume, response time, and resolution time
• Maintain audit logs, turnover reports, and organizational charts
• Document HR processes, workflows, and procedures
• Support HRIS projects, testing, and system improvements
What You Bring
• Experience with HRIS platforms (UKG, ADP, Paycom, Paycor, Dayforce, Workday, or similar)
• Experience with confidential personnel files and employee transactions
• Manufacturing or multi-location experience preferred
• Strong understanding of employee lifecycle processes
• High attention to detail and strong data accuracy skills
• Ability to manage multiple priorities and meet deadlines
• Strong HRIS and document management experience
• Knowledge of HR compliance and records retention
Preferred
• UKG Pro and/or IBM Cognos Analytics experience
• Advanced Microsoft Excel skills
Work Environment
Office-based role with controlled conditions and moderate noise. Occasional travel may be required based on business needs.
Compensation/Benefits
We offer a collaborative environment focused on innovation and continuous improvement. The hourly pay range for this role is $29.00 to $36.00, with final compensation based on experience, education, skills, and location. Benefits include medical, dental, vision, life insurance, PTO, and a 401(k) plan.
