Position: HR Coordinator

Job Summary

The HR Coordinator is the on-site HR presence at the Bastrop, Texas facility, reporting to the HR Business Partner based at Cave Spring, Georgia, with a dotted line reporting relationship to the Director of Operations at Bastrop. This role executes day to day HR work at Bastrop: onboarding and orientation, attendance recordkeeping, corrective action documentation, recruiting and interview coordination, training administration, employee inquiries, and plant communication.

Alleguard’s standard HR Business Partner span is four plant locations; this HR Business Partner now supports five. The role exists to add execution capacity so that policy interpretation, leave determination, and employee relations investigation remain with the HR Business Partner across an expanded footprint, while routine HR work at Bastrop is handled on site.

The position also serves as the first point of contact at Bastrop and provides support to the plants, as specified by the Director of Operations and set out in the Plant Administrative Support section.

Success in this role is measured by accuracy, timeliness, consistency, and judgment about what to escalate. The incumbent is expected to follow established Alleguard procedure, document thoroughly, and raise anything outside routine practice rather than resolve it independently. Training and development toward a broader HR career path are provided.

Scope of Support

  • Bastrop, TX: Primary
  • On-site HR presence. Onboarding and orientation, attendance recordkeeping, corrective action documentation, recruiting coordination, training administration, employee inquiries, plant communication.
  • Greer, SC, Cave Spring, GA, and Radford, VA: Secondary
  • Defined administrative scope only: (attendance ledger entry and requisition posting). Estimated 6-8 hours per week combined. Deprioritized when Bastrop requirements conflict.

Responsibilities

Attendance Recordkeeping and Administration

  • Assists in follow up for attendance occurrences with supervisors to ensure compliance applying the Alleguard policy that exists in UKG.
  • Identifies absences that may be protected under FMLA, the ADA, or a state leave entitlement and makes a recommendation HR Business Partner for determination before any point is recorded.
  • Collects and reviews call-off and medical documentation for completeness, and flags circumstances the policy does not squarely address for HR Business Partner direction: sufficiency of documentation, whether an absence is a single continuous event, whether a scheduled appointment exception applies.
  • Administers the attendance program for secondary sites within the defined scope, and ensures a local compliance with HR policies and procedures.

Corrective Action Support

  • Follows up on notifications and prepares counseling reports and written warning documents at the 6, 8, and 9 point thresholds and provides recommendations on counseling and discipline to supervisor and HR Business Partner review.
  • Uploads to the employee record, discipline documentation and relevant precedent to support supervisor and HR Business Partner review of conduct and performance matters.
  • Maintains HR files in UKG to support the HR business partner.

Employee Relations Intake (Bastrop)

  • Serves as the first point of contact for employee questions and concerns at Bastrop, documents what is reported, and escalates promptly to the HR Business Partner.
  • Supports HR Business Partner investigations by scheduling interviews, gathering records and timekeeping data, taking notes, and maintaining the investigation file.
  • Escalates immediately and without exception any matter involving harassment, discrimination, retaliation, threats or violence, substance concerns, wage and hour exposure, or potential legal liability. This position does not investigate, reach findings on, or advise employees regarding such matters.
  • Forwards any concern arising at a secondary location directly to the HR Business Partner and the applicable plant leader without independent inquiry.

Recruiting Support

  • Screens applications against the posted minimum qualifications, conducts initial phone screens using approved questions, and recommends candidates for hiring manager interview.
  • Schedules interviews, coordinates panels, collects interviewer feedback, and communicates status to candidates.
  • Coordinates with temporary staffing agencies on requisition placement, arrival logistics, and invoice validation.

Onboarding, Orientation, and Offboarding

  • Delivers new hire orientation at Bastrop on the cadence hiring volume requires, including off-shift sessions.
  • Completes Form I-9 verification and E-Verify submission within required timeframes, and maintains I-9 records separately from personnel files.
  • Initiates and tracks background checks, drug screens, and post-offer physicals, and forwards any adverse or incomplete result to the HR Business Partner.
  • Tracks probationary reviews and 30/60/90 day check-ins, and escalates missed reviews to plant leadership.
  • Completes offboarding: exit interviews, final pay coordination on the applicable state timeline, property and PPE recovery, system deactivation, and separation documentation.

Safety and Compliance Training Administration

  • Reviews training in KPA: course assignment, completion tracking, follow-up with employees and supervisors on overdue items, and record retention.
  • Coordinates annual hearing conservation screenings, including scheduling, employee notification, and maintenance of audiometric records within the medical file.
  • Coordinates required safety and compliance training. OSHA-regulated technical training content remains owned by EHS or qualified plant trainers; this position is accountable for scheduling, documentation, recordkeeping, and audit readiness.
  • Delivers assigned general-awareness and policy training modules.

Plant Communication

  • Maintains plant communication channels: updates the plant slideshow monthly, posts employee birthdays and service milestones, and keeps bulletin boards current.
  • Ensures required federal and state labor law postings are current at Bastrop.
  • Distributes HR and benefits communications to the Bastrop workforce, including open enrollment materials and policy updates.

HR Administration and Reporting

  • Ensure proper compliance by reviewing and confirming personnel, confidential, and medical files in UKG in compliance with retention requirements and required separation of record types.
  • Responds unemployment claims, and prepares position statements for HR Business Partner review.
  • Provides interim HR coverage at the Cave Spring location during planned and unplanned absences of the HR Business Partner, including employee inquiries, time-sensitive approvals within delegated authority, and escalation to the designated alternate approver.

Performs other duties as assigned in support of HR and plant operations objectives.

Qualifications

  • High school diploma or equivalent required. Associate or bachelor's degree in human resources, business administration, or a related field preferred.
  • Two or more years of HR administrative support experience, such as an HR assistant, HR coordinator, HR administrator, or a plant or office administrative role carrying substantial HR responsibility.
  • Working familiarity with employment compliance fundamentals, including FMLA, ADA, I-9, and OSHA recordkeeping. Structured training is provided on Alleguard policy and procedure.
  • Comfort working within a dual reporting relationship, reporting to a remote HR Business Partner while taking day to day direction on plant administrative work from on-site operations leadership, with a disciplined habit of asking rather than guessing.
  • Clear written and verbal communication, including the ability to explain policy to hourly production employees and to write accurate, factual documentation.
  • Demonstrated discretion with confidential information. This is a required qualification, not a preference.
  • Working proficiency with Microsoft Excel, Word, Outlook, and Teams, and the aptitude to learn an HRIS and timekeeping platform.
  • Ability to work on-site in Bastrop, Texas, and to travel occasionally as business needs require.

Preferred Qualifications

  • SHRM-CP or PHR certification preferred.
  • Exposure to UKG Pro or UKG Pro Workforce Management, or another HRIS or timekeeping system.
  • Prior experience in a manufacturing or plant environment in any capacity, including production, shipping, or plant administration.
  • Experience administering a no-fault attendance or point-based policy.
  • Conversational Spanish.

Physical Demands, Travel, and Work Environment

  • Office-based within a manufacturing facility, with regular time on the production floor at Bastrop.
  • Required use of personal protective equipment in designated plant areas; exposure to noise, dust, temperature variation, and moving equipment.
  • Occasional travel for HR Business Partner meetings, training, and corporate meetings. No other Alleguard location is within driving distance of Bastrop.
  • Prolonged periods of sitting and computer use; frequent standing and walking during orientation, training, and floor presence.
  • Occasional lifting and carrying of up to 25 pounds.
  • Occasional early start or late stay to reach off-shift employees, with overtime paid in accordance with policy.
